We are an expanding U.S.-based premium residential cleaning company focused on developing scalable operations, efficient workflows, and well-documented business systems. We are currently searching for a versatile Virtual Assistant who is methodical, dependable, eager to learn, and capable of adapting to new software, procedures, and responsibilities over time.
This is a long-term opportunity for someone who enjoys organization, documentation, research, and helping build efficient business processes.
Primary Responsibilities
1. Administrative Support & Document Management
- Organize, update, and maintain internal business documentation, including employee records, contracts, standard operating procedures, and onboarding materials.
- Build and maintain structured filing systems within Google Drive or Dropbox.
- Keep documents properly named, version-controlled, and easily accessible for the team.
2. Standard Operating Procedures (SOP) Development
- Review training videos and educational content related to luxury and professional cleaning services.
- Identify important techniques, tools, and workflow steps.
- Transform video content into well-structured written SOPs, operational guides, and cleaning checklists for services such as deep cleaning, specialty cleaning, and future white-glove offerings.
- Regularly update and improve documentation as procedures evolve.
3. Business Platform Assistance (Training Provided)
- Learn how to configure and manage the BookingKoala platform.
- Assist with organizing services, pricing structures, and service descriptions so they align with the company's website.
- Create internal documentation explaining platform processes for future tea
- Previous BookingKoala experience is not required; a willingness to learn is the most important qualification.
4. Industry & Competitive Analysis
- Conduct research on businesses within the residential cleaning and luxury home service industries.
- Compare competitors' pricing strategies, service packages, and market positioning.
- Prepare concise written reports highlighting key findings and recommendations rather than simply collecting website links.
5. Social Media Coordination
- Create, optimize, and maintain business profiles across platforms such as Instagram, TikTok, and other social networks.
- Repurpose existing content into engaging social media posts.
- Write captions, select relevant hashtags, and develop consistent posting calendars.
- Publish content according to brand guidelines and scheduled timelines.
