PERSONAL / EXECUTIVE ASSISTANT — LONG-TERM, FULL-TIME ROLE
Remote | $8/hr, bi-weekly pay | 9am–5pm US Pacific

I'm an entrepreneur based in Southern California. I run a digital marketing agency serving home-service businesses, and I'm a coach inside a paid coaching program for marketing agency owners. Between the two, I manage roughly 80 client and member relationships.

THE ROLE
You will be MY assistant. Not the agency's assistant, not the coaching program's assistant — mine. Your job is to protect my time, carry my communication load, and make my life simpler. The work happens to live mostly inside client success and member communication, but the role follows me: if I need help with something personal or business-related during work hours, that's part of the job.
This is not a task-list VA role. I need someone who thinks, notices, and takes ownership.
Your core responsibilities:
- Manage day-to-day communication with coaching members and agency clients on my behalf — in my voice, to my standard
- Track member engagement and flag disengaged members early, then run reactivation outreach
- Follow up on failed payments and renewals using our existing AI-powered systems
- Complete weekly and monthly reports; keep member data updated
- Collect testimonials, schedule case-study interviews, and ask for referrals
- Surface problems before they become problems, and suggest the SOPs and systems we should build as issues come up
- Personal-assistant support during work hours — scheduling, research, errands that can be done remotely, whatever I need off my plate
Important: most of the mechanical work (payment follow-up, reporting, tracking) is already automated with AI tools. Your job is to USE those tools consistently and apply human judgment where it's needed. You won't be building from scratch — but you must be sharp enough to notice gaps and propose fixes without being told.
HOW ONBOARDING WORKS (FIRST 21 DAYS, PAID)
- Week 1: You shadow me. Watch how I communicate, learn the members, learn the tools.
- Week 2: We build the SOPs and playbook together — you hold the pen.
- Week 3: You take over communications while I watch and give feedback.
- Day 22+: You own it. We meet daily for a 15–30 min 1:1, but I will not manage you task by task.
I think of this seat as the cornerstone of how everything I do runs — hire the right person once, invest in them, and build for years. That word matters; you'll want to remember it when you record your Loom, where I'd like you to work it in naturally within your first minute.
COMPENSATION & TERMS
- $8/hr, full-time (40 hrs/week), paid bi-weekly
- Performance review at 6 months with a $2/hr raise on strong performance
- Hours: 9am–5pm US Pacific Time — confirm you can sustain this schedule long-term before applying
- Time tracking via Hubstaff/Time Doctor
- This must be your ONLY job. No side clients, no other employers.
- 100% long-term, stable role.
REQUIREMENTS
- Fluent, natural written English (you'll be writing to US business owners daily, as me)
- Prior experience supporting a busy professional, executive, or agency owner — with references I can contact
- Extreme attention to detail
- A love of simplifying things — you see a messy process and itch to clean it up
- Proactive: you flag issues, propose solutions, and take accountability when something slips
- Honest, transparent, kind, loyal
- Reliable internet, quiet workspace, own computer
