About the Role
We're looking for a detail-oriented Client Services & Business Operations Specialist to support daily business operations while delivering excellent customer service. This role combines administrative support, operational coordination, customer communication, scheduling, and financial administration.
You'll work closely with the business owner to improve processes, manage operational workflows, and ensure customers receive a seamless experience from inquiry through job completion.

Requirements
- 4+ years of experience in operations, administration, executive assistance, customer support, or project coordination.
- Strong organizational and time management skills with the ability to manage multiple tasks and deadlines.
- Excellent written and verbal English communication skills.
- Experience using CRM systems, scheduling software, and business productivity tools.
- High attention to detail with the ability to maintain accurate records and documentation.
- Proficient in Microsoft Excel, Word, Outlook, and Google Workspace.
- Comfortable coordinating schedules, calendars, meetings, and administrative processes.
- Ability to prioritize competing tasks and work efficiently in a fast-paced environment.
- Self-motivated and able to work independently with minimal supervision.
- Proactive problem-solver with a continuous improvement mindset and experience streamlining workflows or operational processes.
Responsibilities
- Coordinate daily administrative and operational activities.
- Manage calendars, appointments, scheduling, and customer communications.
- Maintain accurate CRM records, reports, and KPI tracking.
- Respond to customer inquiries and prepare accurate service quotes and estimates.
- Update customer information, job statuses, and communications in WORKIZ or a similar CRM.
- Support invoicing, bill payments, and coordinate with the bookkeeper.
- Prepare and send business documents, including Certificates of Insurance (COIs).
