JOB OVERVIEW

We are a family-owned residential remodeling company in the Chicago suburbs (Illinois, USA), in business since 1999. We serve high-end homeowners and take pride in quality work and professional communication.
We're hiring a detail-oriented Administrative Virtual Assistant to become a long-ter ---------- mber of our team. This is not a short-term project — we're looking for someone who wants a stable role with a company that will invest in your growth.

Your Core Responsibilities
Subcontractor & supplier coordination (phone + email) — call subs to confirm schedules, follow up on material orders and delivery dates, resolve scheduling conflicts, and keep the project calendar accurate
Client communication — send weekly project update emails, confirm appointments, respond to routine client questions in writing, and know when to escalate to the owner

Email
management — triage the owner's inbox daily, flag priority messages, draft routine replies for approval
Lead intake & data entry — log new leads into our tracking system accurately and promptly
Document organization — file contracts, permits, insurance certificates, and receipts in Google Drive with consistent naming
Follow-ups — chase down missing documents, confirm vendor appointments, track open items to completion
Growth opportunity: For the right candidate, this role can expand into real estate research and transaction coordination work over time, with increased hours and pay.
Requirements
Excellent written AND spoken English — this role involves regular phone calls with US subcontractors and suppliers, and polished written communication with homeowner clients
Confident on the phone — you are comfortable making outbound calls, leaving clear voicemails, and following up until you get an answer
Strong attention to detail — accuracy matters more than speed in this role
Proficient with Google Workspace (Gmail, Calendar, Drive, Sheets, Docs)
Reliable high-speed internet, a quality headset, and a quiet workspace (background noise on calls is a dealbreaker)
Available for at least 3–4 hours of overlap with US Central Time mornings (approx. 8 AM–12 PM Chicago time)
Self-directed: you ask clarifying questions up front, then execute without hand-holding
Nice to have (not required):
Any experience with US real estate, title, mortgage, or property research
Experience working for a construction, remodeling, or home services company
CRM experience (any platform)
