JOB OVERVIEW

We are a US-based LLC running an influencer marketing agency that works with AI and tech brands across Instagram, TikTok, and YouTube. We're looking for an experienced finance and admin assistant to take ownership of our bookkeeping, creator payments, and agreement paperwork. This is not an entry-level role — please only apply if you have done this kind of work before and can show it.

What you'll be doing:

- Bookkeeping in Xero: categorizing transactions, reconciling our Mercury and Wise bank feeds, and keeping the books clean and up to date every month.
- Preparing and uploading creator payments into our banking platform for owner approval (you prepare, we approve — accuracy here is everything).
- Verifying payment details against invoices and agreements before anything is submitted.
- Managing creator agreements: filling in negotiated terms from our templates, sending for signature, chasing signatures, and tracking status through the usual back-and-forth.
- Keeping organized records of invoices, contracts, W-8BEN/W-9 forms, and payment confirmations so everything is audit-ready.
- Maintaining our payments and contracts tracker in Google Sheets.

What we need from you:

- Proven experience in bookkeeping (Xero strongly preferred) — you should be able to describe real client work you've done
- Experience processing or preparing payments and handling international payouts
- Understanding of compliance basics for a US LLC working with international contractors: collecting the right tax forms, proper invoicing, and clean record-keeping
- Comfortable handling contract paperwork and spotting when something a creator requests doesn't match the agreed terms (you flag it, we d ---------- )
- Excellent written English, strong attention to detail, and the discipline to double-check names, amounts, and bank details every single time
- Reliable internet, and availability that overlaps with European (CET) working hours

How we work: part-time to start, with room to grow into a bigger role as the agency scales. You'll work directly with the founders. We value people who communicate early when something is off, rather than staying quiet.
