Executive Assistant (Full-Time, Remote) — Support U.S. Leadership from Home!

Ellivia is hiring a full-time Virtual Assistant on behalf of one of our clients. We specialize in placing candidates directly with our clients, so once hired, you'll be working directly and closely with the client as an embedded part of their team.

Are you a highly organized, proactive professional who loves keeping things running smoothly behind the scenes? We're looking for a reliable Executive Assistant to support our leadership team. Someone who's detail-oriented, communicates like a pro, and thrives working independently in a remote setup.

Compensation
Starting rate is $5 to $10 USD per hour, depending on your experience, skills, and the result of your interview. Final compensation will be discussed during the recruitment process.

What You'll Be Doing:

Executive Support: Day-to-day admin support: task coordination, follow-ups, document prep, and workflow management
Calendar Management: Own the schedule: meetings, appointments, reminders, and meeting prep
Inbox & Communication: Manage emails, draft responses, and keep follow-ups on track
Meeting Coordination: Prepare agendas, take notes, track action items, and ensure follow-through
Docs & Files: Keep documents, spreadsheets, trackers, and shared files organized and up to date
Task & Project Coordination: Support project updates and operational follow-ups using company tools
Research & Reporting: Compile information, prepare summaries, and assist with reports
Stakeholder Communication: Communicate professionally with tea ---------- mbers, clients, and vendors

What We're Looking For:

Previous experience as an Executive Assistant, Virtual Assistant, Admin Assistant, or similar remote role
Excellent written and verbal English communication skills
Strong organization, time management, and attention to detail
Discretion and professionalism when handling confidential information
Self-starter who works well independently with minimal supervision
Proficiency with tools like Google Workspace, Microsoft Office, Slack, ClickUp, Notion, CRMs, and video conferencing platforms
Full-time availability with overlap with U.S. business hours (especially EST)

Bonus Points If You Have:

Experience supporting executives, founders, or CEOs
Experience with U.S.-based clients or businesses
Background in legal, operations, staffing, sales support, or customer support
Quick learner who adapts easily to new tools and workflows

Technical Requirements:

Laptop/desktop with at least 8GB RAM
Noise-canceling headset
Stable internet, minimum 10 Mbps (backup internet/power preferred)
Quiet, professional workspace
