What You'll Do

As an Intake Specialist / Customer Service Representative, you will be the first point of contact for homeowners reaching out about air quality concerns. Your primary focus is answering inbound calls, qualifying inquiries, and scheduling inspections, while also following up on leads generated through our marketing campaigns to keep the calendar full for our field inspectors.

Your responsibilities may include:

• Answering inbound calls from prospective and existing customers regarding air quality testing and inspection services.
• Conducting intake qualification by gathering property details, customer concerns (mold, musty odors, allergies, radon, etc.), and scheduling preferences.
• Educating callers on AQT's testing process, turnaround times, and pricing in a clear and reassuring manner.
• Scheduling and confirming on-site inspection appointments with field technicians and managing calendar availability.
• Accurately logging all customer interactions, appointment details, and lead status in the CRM system.
• Handling day-to-day customer service inquiries, including rescheduling requests, billing questions, and status updates on test results.
• Following up with customers after their inspection to ensure satisfaction and gather reviews or testimonials.
• Escalating complex or sensitive customer issues to management or the technical team as needed.
• Collaborating closely with the marketing and intake teams to ensure smooth lead handoff and strong call-to-appointment conversion.
• Meeting and exceeding daily and weekly targets for calls handled, appointments booked, and customer satisfaction.

What Are We Looking For?

We are looking for a warm, dependable phone communicator with a genuine interest in helping people. You don't need prior air quality industry experience — you need to be excellent at listening, reassuring, and guiding callers toward a booked inspection.

You should have:

• This role is also open to fresh graduates. Individuals who graduated a 4-year degree course with 1-3 years of experience as a customer service representative, call center agent, intake coordinator, or appointment setter — home services, healthcare, or insurance intake experience is a plus.
• Comfort handling high-volume inbound calls as well as making outbound follow-up calls.
• Excellent written and verbal English communication skills, with a warm, patient, and professional phone manner.
• Strong active listening skills to accurately capture customer concerns and translate them into clear intake notes.
• Proficiency with CRM and scheduling tools (e.g., GoHighLevel, HubSpot, or similar) for logging calls and booking appointments.
• Comfort multitasking between live phone conversations and accurate data entry.
• A willingness to learn basic indoor air quality concepts (mold, radon, VOCs) to speak knowledgeably with customers.
• A reliable internet connection and a quiet home workspace suited for a remote, phone-based role.
• Familiarity with video conferencing and communication tools (e.g., Zoom, Slack) for team coordination.
