Full-time Personal Executive Assistant: Personal and Business duties Overview:
1. About the Role: I am looking for a professional, reliable, long-term Personal Executive Assistant who can support both the owner’s personal and business responsibilities. This role involves working directly with the owner to support his work managing multi-step tasks in multiple work areas: real estate development, photo and film studio, property management, leasing, construction, business operations, tennis sports management, family scheduling, travel logistics, and other one-time, unique tasks.
2. The personal executive assistant will assist the owner in managing a constant stream of unique situations and to help extend his execution reach by keeping tasks moving forward to the point where he can make a decision. On a daily basis, you will be analyzing, anticipating, problem-solving, organizing, researching, communicating with partners and presenting, and collaborating. I value daily consistency, resourcefulness and initiative. This is not a flexible data-entry or call-center position.
3. Overnight Shift:
a. Full-time position Monday-Friday, 8:00am-5:00pm PDT (Pacific Daylight Time) California time, with 1-hour lunch starting at 12:00pm.
b. In Philippines time (PHT), this is Tuesday through Saturday 11:00am to 9:00am (overnight shift) with a 1-hour meal break starting at 3:00am.
4. Approximately 50% Personal and 50% Business work intertwined throughout the day.
5. Ideal candidate will have 3-5 years previous experience in comprehensive, deep support of one executive rather than supporting multiple executives in a limited capacity.
Personal Work Activities
1. Scheduling and Calendar Management
2. Processing all scanned mail
3. Schedule Manage Medical appointments and payments
4. Order and monitor the monthly medications
5. Support daughter’s tennis development, tournament travel, and paying Tennis Team expenses via Venmo.
6. Monthly travel planning for family for flights, hotels and car rentals
7. Purchasing on Amazon, Tennis Warehouse and other online vendors
8. Cost management
9. Other miscellaneous tasks.
Business Work Activities
1. Manage calendar &
2. Coordinate with vendors, service providers, tenants as needed
3. Track ongoing issues until resolved (follow-through focus)
4. Assisting the Owner to oversee the Photo Studio operations and Milk Tea shop construction and the respective associated current VAs
5. Using Microsoft Excel spreadsheets for basic cost analysis and monthly tracking.
6. Property Management for the family’s properties including listings and tenant management.
7. Assist with Real Estate Multi-Family Investments and Liaise with Realtors
8. Actively monitor deadlines and pay expenses and property taxes,
9. Cost management and reduction: Utilities, Insurance, Internet
10. Filing routine annual documents to various government agencies related to properties and businesses
11. Organizing digital folders and filing documents to Dropbox
12. Manage priorities, tasks and duties using Click-Up
13. Other miscellaneous tasks per request
Candidate Requirements (Non-Negotiable)
Please only apply if you meet all of the following:
1. 3+ years as an Executive Assistant, Operations Assistant, Project Coordinator or Event Planner.
2. Excellent English — both spoken and written (you will be customer-facing and vendor facing)
3. Very strong organization + follow-through skills
4. Ability to work with autonomy (low supervision needed) and collaboratively (excellent communication skills).
5. Able to take notes, follow instructions, and close loops
6. Stable internet, quiet work environment, and reliable power

2. Intermediate Microsoft Excel: organizing data sets, performing simple functions, experienced in formatting for presentations
3. Dropbox: experienced with filing large volumes of documents
4. Google Workspace: Gmail, Calendar, and Chrome
5. Text and Phone Coordination: Google Voice, Google Chat
6. Task/Project tracking: ClickUp
