JOB OVERVIEW

ROLE OVERVIEW
We’re looking for an Accounting & Finance Operations Assistant to help manage the day-to-day bookkeeping, finance tracking, invoice management, royalty calculations, payroll consolidation, reporting, and inventory reconciliation for Genius Games and Elf Creek Games.

This role will work closely with leadership and operations to keep financial records accurate and up to date in QuickBooks Online, Google Sheets, and related tools. You will help ensure invoices are created, payments are tracked, credit card and payment channel balances are monitored, reports are prepared weekly, and designer royalties are calculated properly each quarter.

This is a role for someone who is careful with numbers, proactive with communication, and comfortable handling recurring finance tasks with consistency. You do not need to know everything on day one, but you do need to be organized, detail-focused, and willing to follow established workflows while raising questions when something does not look right.

SCHEDULE & AVAILABILITY
This role requires overlap with U.S. business hours, especially during training and weekly finance check-ins.

- Ability to work meaningful overlap with U.S. Central Time during training
- Availability for Daily Huddles at 9AM CST (10PM PHT)
- Availability for Tuesday Workshops at 8AM-11:30AM CST (9PM-12:30AM PHT)
- Schedule may become more flexible once workflows are learned and deadlines are consistently met
- Must be able to meet weekly, bi-monthly, monthly, and quarterly finance deadlines

WHAT YOU'LL OWN
This role is broad but focused. Here are the six core areas you'll be responsible for:

1. QUICKBOOKS ONLINE MANAGEMENT
- Clean up and maintain company files in QuickBooks Online for Genius Games and Elf Creek Games
- Create, manage, and categorize invoices, bills, expenses, receipts, and payments
- Make sure invoices and transactions are entered accurately and consistently
- Reconcile bank accounts, credit cards, and payment channels on a regular basis
- Help organize QBO records so reports are clean, accurate, and easy to review
- Raise questions when transactions are unclear or when supporting documents are missing

2. INVOICING & PAYMENTS
- Create invoices for customers, partners, retailers, distributors, and other business needs
- Track open invoices and follow up internally on unpaid balances
- Make sure monthly recurring payments and scheduled bills are tracked and paid on time
- Monitor credit cards, bank accounts, PayPal, Stripe, Shopify, and other payment channels when applicable
- Notify leadership proactively when account balances, credit limits, or payment channels are low
- Keep payment records organized and easy to reference

3. WEEKLY FINANCE REPORTING
- Prepare weekly finance reports showing key balances, payments, invoices, cash movement, and upcoming obligations
- Summarize important finance updates clearly for leadership
- Flag urgent issues, low balances, overdue invoices, upcoming payments, or unusual transactions
- Maintain tracking spreadsheets for financial visibility across both companies
- Help leadership understand what needs attention without requiring them to dig through raw data

4. PAYROLL SUPPORT
- Consolidate bi-monthly payroll information for tea ---------- mbers and contractors
- Collect, review, and organize hours, rates, reimbursements, and payment details
- Prepare payroll summaries for review and approval
- Coordinate payroll-related records in QBO, Wise, or other payment systems as needed
- Make sure payroll information is accurate, complete, and submitted on schedule

5. ROYALTY COMPUTATION
- Calculate quarterly royalties for designers, licensors, and partners based on sales data and royalty agreements
- Prepare royalty reports with supporting calculations and clear documentation
- Help compute Kickstarter-related royalties when campaigns involve designer or partner payments
- Track royalty obligations across products, campaigns, and reporting periods
- Maintain organized royalty spreadsheets that can be reviewed and audited later
- Raise any questions when contract terms, sales data, or deductions are unclear

6. INVENTORY RECONCILIATION
- Assist with inventory reconciliation across warehouses, fulfillment partners, Shopify, Amazon, Square, Kickstarter, and internal records
- Compare inventory movement against sales, shipments, returns, and fulfillment reports
- Help identify discrepancies between physical stock, warehouse reports, and accounting records
- Maintain clean spreadsheets showing inventory status, stock movement, and remaining availability
- Support operations with data needed for reorders, fulfillment planning, and financial reporting

WHAT WE'RE LOOKING FOR
Skills can be developed, but accuracy, reliability, and ownership are essential.

You're a fit if you:
- Are highly organized and careful with details
- Are comfortable working with numbers, spreadsheets, reports, and financial records
- Have experience using QuickBooks Online or are confident learning it quickly
- Are very strong in Google Sheets or Excel
- Can follow recurring workflows without needing constant reminders
- Communicate clearly when something is missing, unclear, or urgent
- Are proactive about raising issues before they become bigger problems
- Can manage weekly, bi-monthly, monthly, and quarterly deadlines
- Are comfortable working with multiple companies, product lines, and data sources
- Take confidentiality seriously and handle financial information with care
- Can work independently while keeping leadership informed

This role is NOT a fit if you:
- Are uncomfortable with spreadsheets, formulas, or financial reports
- Need step-by-step instructions for every recurring task
- Wait until the last minute to flag missing information or problems
- Struggle to communicate clearly
- Are careless with numbers, file naming, or documentation
- Are uncomfortable working with QuickBooks Online

TOOLS YOU'LL WORK WITH
You must be comfortable with Google Workspace and very strong in spreadsheets. QuickBooks Online experience is strongly preferred.

- QuickBooks Online: bookkeeping, invoice management, transaction tracking, and reporting
- Google Sheets / Excel: royalty calculations, inventory reconciliation, reports, and data analysis
- Gmail and Google Drive: communication and file organization
- ---------- : payroll and international payments
- Shopify, Square, Stripe, PayPal, Amazon, or similar platforms: sales and payment data
- Kickstarter and pledge manager exports: campaign sales, fulfillment, and royalty data
- Warehouse and inventory reports from fulfillment partners
- Slack or similar communication tools
- AI tools, when helpful, for organizing notes, summaries, and reporting drafts

WHAT THIS ROLE DOES NOT INCLUDE
To be clear about scope:

- No marketing or social media management
- No graphic design or creative asset work
- No customer service ownership, except when finance-related details are needed
- No final financial decision-making without leadership approval
- No legal/accounting advice responsibilities

YOUR FIRST 90 DAYS
We don’t expect perfection on day one. Here’s roughly what the first 90 days may look like:

WEEK 1
- Learn the company structure, product lines, tools, finance workflows, and reporting cadence
- Review current QuickBooks Online setup, spreadsheets, invoices, and recurring tasks
- Shadow existing finance and operations processes
- Learn how sales, royalties, inventory, payroll, and invoices are currently tracked

MONTH 1
- Begin managing recurring invoice and transaction tasks with guidance
- Assist with weekly finance reports
- Help organize receipts, bills, expenses, and payment records
- Start learning inventory reconciliation and royalty tracking workflows

MONTH 2
- Take more ownership of weekly finance reporting
- Assist with bi-monthly payroll consolidation
- Help reconcile inventory movement and sales data
- Prepare royalty calculations with review
- Manage QBO invoice and payment tracking more independently

MONTH 3
- Independently manage recurring finance workflows with light review
- Prepare organized weekly reports for leadership
- Do quarterly designer and Kickstarter royalty calculations
- Maintain clean, accurate, and up-to-date accounting records
- Have a 90-day performance review

We meet regularly throughout; you won't be left guessing. And if something isn't working, we'll talk about it directly and fix it together.

COMPENSATION
The position will include a three-month training and onboarding period, which will be compensated at $7 per hour for the first three months given your experience. After this period, compensation will increase to $8.50 to $9.00 USD per hour for the next nine months of working under the current management to advance in their role (more time if needed).

After a year of working with our company, compensation will increase to $9.50 to $12 per hour USD, with annual promotions and raises to follow, and it can be higher given your level of success in the position.

Pay periods are on the 5th and 20th of each month. We will also reimburse your OFS PhilHealth and SSS self-payments on a monthly basis.

Over the next 3 - 5 years, this individual would progress in their role with more strategically focused responsibilities and manage a team at higher compensation ranging from $30,000 USD ($1.7M Philippine pesos) to $40,000 USD ($2.25M Philippine pesos) annually.

Plus:
- Monthly PhilHealth and SSS contribution reimbursement (minimum $30/month)
- Annual performance-based raises
- Performance bonuses or profit sharing eligibility beginning at 9 months
- 15 days PTO per year (years 1–2) ? 18 days (years 2–5) ? 21 days (5+ years)
- 6–8 paid holidays (U.S. holidays observed; flexibility for key Philippine holidays)
