Virtual Assistant / Operations Coordinator (Part-Time) – Residential Cleaning Company

Top Maid Clean is a fast growing residential cleaning company serving the Asheville, North Carolina area. We pride ourselves on exceptional customer service, dependable cleaners, and building organized systems that allow our business to grow without sacrificing quality.

We're looking for a dependable, highly organized Virtual Assistant / Operations Coordinator who enjoys helping people, solving problems, and keeping daily operations running smoothly. This position starts part-time with the opportunity to grow into a larger leadership role as the company expands.

Position Overview:

You will be the primary point of contact for our customers and cleaning team during business hours. Your role is to keep daily operations running smoothly by coordinating schedules, supporting cleaners, answering customer calls, and providing excellent customer service.

Some days are busy with scheduling changes and customer calls. Other days are quieter and provide time to review upcoming appointments, organize information, and improve internal processes. We're looking for someone who is dependable, proactive, organized, and takes pride in helping people.

Primary Responsibilities:

Answer incoming customer phone calls and text messages professionally.

Schedule, reschedule, and confirm customer appointments.

Coordinate with cleaners throughout the day to keep appointments running smoothly.

Handle cleaner call-outs and customer scheduling changes by following established procedures.

Update BookingKoala and GoHighLevel with accurate notes and scheduling changes.

Respond to customer questions and resolve routine issues professionally.

Review upcoming appointments to help prevent scheduling conflicts.

Maintain organized operational records.

Escalate unusual situations to the owner when necessary.

Preferred Experience:

Previous experience supporting a U.S. residential cleaning company is strongly preferred.

Qualifications:

Excellent spoken and written English.

Friendly, confident, and professional phone presence.

Highly organized with excellent attention to detail.

Strong problem-solving skills.

Comfortable learning new software.

Reliable internet connection and quiet workspace.

Positive attitude and commitment to exceptional customer service.

Hours:

Approximately 20 hours per week initially.

Monday through Friday, approximately 9:00 AM – 1:00 PM Eastern Time.

Occasional flexibility for urgent scheduling situations or an occasional Saturday clean is appreciated.
