Artist Bookkeeper & Finance Coordinator (Xero | Australia)
We're a boutique artist management company looking for an organised, proactive finance professional to support the financial administration of the artists we manage.
This is not a tax accounting role. We already work with external accountants who prepare BAS, tax returns and provide tax advice.
Instead, we're looking for someone who can become the day-to-day financial contact for our artists—keeping their bookkeeping up to date, managing invoicing, ensuring records are complete, calculating management commissions, and making sure everyone stays on track with their financial obligations.

Responsibilities
Bookkeeping & Reconciliations
Maintain accurate bookkeeping in Xero.
Reconcile bank accounts on a weekly basis.
Ensure income and expenses are correctly categorised.
Follow up on missing transactions or supporting documentation.
Keep financial records accurate and up to date.
Artist Invoicing & Accounts Receivable
Prepare and issue invoices on behalf of our artists.
Ensure invoices are accurate and sent promptly.
Track outstanding invoices and payment due dates.
Follow up professionally on overdue invoices.
Reconcile incoming payments in Xero.
Keep artists and management informed of outstanding payments.
Receipt & Document Management
One of the most important parts of this role is helping our artists stay organised.
You'll:
Ensure receipts and invoices are collected and stored correctly.
Follow up with artists when documentation is missing.
Keep financial records organised throughout the year—not just at tax time.
Prepare documentation so our accountants always have what they need.
Management Commission Administration
Calculate management commissions in accordance with each artist's management agreement.
Prepare commission summaries and supporting calculations.
Raise management commission invoices where required.
Maintain accurate commission records.
Accountant & Compliance Coordination
Working alongside our external accountants, you'll help ensure everything is completed on time.
This includes:
Preparing bookkeeping for BAS and tax return preparation.
Liaising with our accountants regarding information requests.
Tracking BAS, tax and other compliance deadlines.
Following up with artists for outstanding documentation.
Maintaining a recurring calendar of financial obligations so nothing is missed.
About You
We're looking for someone who:
Has strong bookkeeping experience using Xero.
Has experience preparing or assisting with BAS.
Has a solid understanding of Australian GST and bookkeeping requirements.
Is confident working with Australian businesses and tax processes.
Has excellent organisational skills and strong attention to detail.
Is comfortable communicating directly with clients and accountants.
Is proactive and confident following up on outstanding information.
Can manage multiple artists and priorities simultaneously.
Takes ownership rather than waiting to be told what to do.
Has C2 (Advanced/Mastery) English proficiency with excellent written and verbal communication skills.
Experience working with musicians, creatives, agencies or talent management businesses would be highly regarded but isn't essential.
What Success Looks Like
Every artist's bookkeeping is current and reconciled.
Invoices are issued promptly and outstanding payments are actively managed.
Receipts and financial records are organised throughout the year.
Management commissions are calculated accurately and on time.
BAS preparation is smooth because accountants have everything they need.
Artists know exactly what information they need to provide and when.
Management no longer needs to coordinate day-to-day financial administration or chase artists for bookkeeping tasks.
