Company: Kingfisher Ads, a US-based advertising agency specializing in Google and Meta ads for the golf industry

About us

We run paid advertising for golf brands, courses, and clubs across the US. Small team, direct communication, no corporate fluff. We move fast and we automate anything worth automating.

Bookkeeping and financial admin:

- Monthly bookkeeping and bank reconciliations in Xero
- Sending a small number of invoices manually each month and managing client billing prep, including pulling ad spend figures from Google and Meta to calculate fees
- Completing our monthly cash flow tracking spreadsheet, which tracks all income and expenses by category
- Helping move clients onto automated payments (ACH)
- Producing a short monthly financial summary: revenue by client, spending trends, anything we should look at
- Making recommendations. If you see a better way to categorize, track, or manage our finances, we want to hear it

You should have real experience doing bookkeeping for US-based businesses. You don't need tax expertise, our CPA handles that, but you should be comfortable with US bookkeeping conventions.

Operations & Automation:

This is not just a bookkeeping job. As you settle in, you'll take on more of our operations:

- Building and running client onboarding checklists in ClickUp
- Screening job applicants against our criteria before they reach us
- Maintaining our content creator database: logging applicants, updating rates, tracking availability
- Prospect list building and CRM upkeep for our outreach efforts
- Tracking our software subscriptions and flagging waste
- Contractor payment admin as our freelance team grows

We use AI tools and automation heavily and we're building more. Repetitive tasks in this role will get automated over time, with your help. Your job evolves as that happens: you maintain the automations, handle the exceptions, and pick up the next manual thing. If you'd rather do the same task the same way forever, this isn't the right fit. If you're the person who asks "why are we still doing this by hand?" you'll do well here.

Requirements

- 2+ years of bookkeeping experience with Xero
- Experience working with US-based businesses
- Strong written English
- Detail-obsessed. Reconciliations that are almost right are wrong
- Comfortable learning new tools quickly
- Own computer, stable internet, and a backup plan for power or internet outages
- Available for a few hours of overlap with US Eastern time (most of the work is flexible)

Nice to have

- ClickUp experience
- Experience with Zapier, Make, or similar automation tools
- Experience using AI tools (ChatGPT, Claude) in your daily work
- Agency or marketing industry exposure

Pay

Includes 13th month pay. Full time, long-term role. Salary as listed, paid monthly.
