Job Description:
We are a home care agency looking for an experienced, dependable, full-time Scheduling Coordinator. This is a long-term role for someone who can take ownership of caregiver scheduling, client communication, and urgent schedule changes.
This is not a simple data-entry position. We need someone calm, responsible, organized, and accountable who can manage competing priorities, communicate clearly by phone and message, and follow through until scheduling issues are resolved.
You will work closely with our Operations Manager and will help ensure that clients receive reliable care, caregivers have accurate schedules, and all schedule changes are documented properly in our operating system.
Main Responsibilities:
Manage caregiver schedules and schedule changes in "eRSP Software System"
Communicate schedule updates to caregivers, clients, family contacts, and internal tea
Respond quickly and professionally to call-outs, missed shifts, open shifts, and last-minute schedule changes.
Help resolve scheduling conflicts while keeping the Operations Manager informed.
Maintain accurate notes on clients, caregivers, availability, call-outs, and schedule changes.
Answer incoming calls and assist with client/caregiver communication as needed.
Follow established procedures for documentation, escalation, and shift coverage.
Provide clear handoff notes at the end of each shift.
Protect client and caregiver confidentiality at all times.
Must-Have Experience:
Prior experience in scheduling, staffing coordination, dispatch, care coordination, healthcare administration, or home care operations.
Excellent spoken and written English.
Strong phone communication skills and professional telephone etiquette.
Ability to stay calm under pressure and manage urgent situations.
Strong attention to detail and accurate documentation habits.
Ability to work independently without constant supervision.
Reliable computer, quiet workspace, strong internet connection, and backup internet option.
Comfort using web-based software, VoIP phones,
Preferred Experience:
Experience with eRSP home care scheduling software.
Experience scheduling caregivers, nurses, CNAs, home health aides, or field staff.
Experience working US business hours or overnight Philippines time.
Experience communicating with elderly clients, family members, caregivers, and office staff.

Schedule:
Full-time, 40 hours per week.
Must be able to work 8:30am - 5pm US Eastern Time Zone
Some weekend or holiday coverage may be required depending on business needs.
