Position Overview
We are seeking a highly organized and analytical Supply Chain & Production Planning Analyst to support the end-to-end management of our global supply chain across multiple consumer brands, products, and international manufacturing partners. This role is responsible for coordinating production planning, monitoring inventory levels, managing purchase orders, and ensuring products move efficiently from factory to warehouse.
The ideal candidate is detail-oriented, confident working with data, and experienced in communicating with factories, freight forwarders, customs brokers, and internal teams to maintain accurate inventory and production timelines.
Key Responsibilities
Production Planning & Inventory Management
* Maintain production plans based on sales trends, forecasts, inventory levels, and lead times.
* Monitor inventory across multiple brands and warehouses to ensure optimal stock levels.
* Analyze sales performance and inventory data to recommend production and replenishment plans.
* Identify potential inventory shortages or excess inventory and recommend corrective actions.
* Prepare and distribute weekly inventory reports, including:
* Inventory updates
* New Item Tracker
* Other inventory reporting as required
Purchase Order & Logistics Coordination
* Create and maintain purchase orders within QuickBooks.
* Coordinate shipments with freight forwarders to ensure timely movement of goods.
* Monitor shipment schedules from factory through final warehouse delivery.
* Track containers in transit and provide regular status updates.
* Communicate landed cost changes to relevant internal teams.
Import & Customs Coordination
* Review and maintain accurate HTS classifications for imported products.
* Research tariff updates and assess their impact on product costs.
* Prepare reports for containers arriving at ports and communicate expected arrivals.
Inventory Receiving & System Maintenance
* Transfer inventory within QuickBooks from "In Transit/On the Water" to warehouse inventory upon receipt.
* Coordinate with warehouse teams to verify container receipts against purchase orders.
* Investigate and resolve discrepancies between received inventory and purchase orders.
Reporting & Documentation
* Provide inventory reporting to internal sales operations teams for customer portal uploads.
* Maintain organized records of shipping documents, customs documentation, invoices, and supporting files.
* Save and distribute supporting documentation to the Accounting department for payment processing and reconciliation.
* Prepare operational reports to support management decision-making.
Qualifications
* Experience in supply chain, production planning, purchasing, or international logistics.
* Experience working with overseas manufacturers and international shipping.
* Strong analytical skills with the ability to interpret sales and inventory data.
* Experience with QuickBooks, Claude, and Microsoft Excel (pivot tables, formulas, reporting).
* Understanding of international shipping, customs processes, HTS codes, tariffs, and landed cost calculations.
* Excellent written and verbal communication skills.
* Highly organized with exceptional attention to detail and the ability to manage multiple priorities.
