Executive Assistant — Digital Marketing Agency
Type: Part time (12 hours a week) Reports to: Founder
About Us
The Growth Agency runs Meta ads exclusively for gyms, personal trainers and fitness studios across Australia, New Zealand, the US, and the UK.
We're looking for an Executive Assistant who can be the buffer between our clients and our founder — someone who takes the everyday noise off their plate, keeps the trains running on time, and makes sure nothing falls through the cracks.
The Role
This isn't a "sit back and wait for instructions" role. You'll be the first point of contact for client communication, the person who knows exactly who on the team needs to pick up what, and the one making sure our founder only gets pulled in when it actually matters — not for every little thing.
What You'll Be Doing
Owning day-to-day client comms — fielding questions, updates and requests so the founder isn't drowning in back and forth on things that don't need her personally
Triaging and delegating — knowing the team well enough to know instantly who a task belongs to, and following up to make sure it actually gets done
Running point in Slack — this is where the agency lives day to day, so you need to be fast, organised and comfortable managing multiple threads without losing track
Keeping the details tight — client accounts, timelines, deliverables, follow-ups. Nothing slips. If it's not tracked, it doesn't exist
Speaking the language of Meta ads — you don't need to be running campaigns yourself, but you need to understand the basics well enough to have an intelligent conversation with a client and know when something needs to be escalated to the ads team
Protecting the founder's time — this is a big one. You're the filter. Everyday stuff gets handled by you; only the things that genuinely need her get through
What You Bring
Proven experience in an account management, client services, or similar client-facing role
High attention to detail — you catch the small stuff before it becomes a big problem
Strong Slack literacy — you know how to keep channels organised and communication moving without chaos
A working knowledge of Meta Ads
Excellent written and verbal communication — clear, professional, no waffle
Ability to manage multiple client accounts and priorities at once without dropping the ball
Self-starter who takes ownership rather than waiting to be told what to do
Bonus Points
Experience working in or with the fitness industry (gyms, studios, PT businesses)
Background in a marketing or digital agency environment
