Virtual Assistant – Real Estate Transaction Coordinator (Full-Time)

Job Type: Full-Time
Pay: Negotiable, based on experience

About the Role

We're hiring a detail-oriented Virtual Assistant to serve as our Transaction Coordinator (TC). This role manages real estate deals from contract to close, keeping every file organized, every deadline tracked, and every party (agents, clients, title, lenders) informed and on schedule.

Responsibilities


Manage transaction files from executed contract through closing
Track and enforce key contract deadlines (inspection, financing, appraisal, closing dates)
Coordinate with agents, buyers, sellers, lenders, title/escrow, and other parties
Prepare, organize, and submit required documents and disclosures
Ensure compliance with brokerage and state real estate requirements
Maintain accurate, up-to-date records in the transaction management system/CRM
Send timely status updates and reminders to all parties
Flag issues or delays early and help resolve them proactively


Requirements


Proven experience as a Transaction Coordinator in U.S. real estate (please specify states/markets you've supported)
Strong understanding of the real estate closing process and standard contract timelines
Highly organized with excellent follow-through on deadlines
Proficient in spoken and written English
Professional, business-oriented communication style
Able and willing to collaborate with agents and other tea ---------- mbers
Comfortable working independently and managing multiple files at once
