We are looking for a highly experienced and detail-oriented Real Estate Transaction Coordinator to manage transactions from contract execution through closing.
This position is ideal for someone who has substantial hands-on experience coordinating residential real estate transactions in the United States. The successful candidate must understand transaction timelines, contract requirements, compliance procedures, and communication standards.
This is not an entry-level position. Applicants must have proven experience independently managing multiple real estate transactions.
Position Overview
The Real Estate Transaction Coordinator will ensure that every transaction progresses smoothly, accurately, and on schedule. You will coordinate with agents, clients, lenders, title and escrow companies, inspectors, appraisers, attorneys, and other parties involved in the transaction.
Your primary responsibility is to ensure that all documents, deadlines, contingencies, and required activities are completed correctly and on time.
Key Responsibilities
Manage residential real estate transactions from executed contract to closing.
Review contracts and transaction documents for completeness and accuracy.
Create and maintain transaction timelines, checklists, and compliance records.
Monitor all critical dates, deadlines, and contingencies.
Coordinate inspections, appraisals, walkthroughs, financing activities, and closing appointments.
Communicate regularly with agents, buyers, sellers, lenders, title companies, escrow officers, inspectors, and other vendors.
Collect signatures, disclosures, addenda, and supporting documentation.
Upload and organize documents within the company’s transaction management system.
Ensure all files meet brokerage and state compliance requirements.
Follow up with all parties to prevent delays or missed deadlines.
Provide agents and clients with regular transaction status updates.
Submit required documents to brokers, title companies, lenders, and other stakeholders.
Review files before closing to confirm that all documentation is complete.
Maintain accurate digital records for active, pending, closed, and canceled transactions.
Assist with post-closing documentation and file archiving.
Identify potential transaction issues early and help coordinate solutions.
Handle sensitive client and transaction information with professionalism and confidentiality.
Required Qualifications
At least two to three years of direct experience working as a Real Estate Transaction Coordinator.
Significant experience handling US residential real estate transactions.
Proven ability to independently manage multiple transactions at the same time.
Strong knowledge of the contract-to-close process.
Experience reviewing contracts, disclosures, addenda, and compliance documents.
Excellent written and verbal English communication skills.
Exceptional attention to detail and organizational ability.
Strong deadline management and follow-up skills.
Ability to remain calm and solution-oriented in a fast-paced environment.
Ability to communicate professionally with agents, clients, lenders, title companies, and vendors.
Ability to work independently with minimal supervision.
