About Us:
A Kind Heart Healthcare Services is a growing U.S.-based home care agency providing non-medical support services to seniors and individuals needing assistance at home. We are currently expanding our operations into new states and require a dedicated finance professional to maintain the integrity of our billing and payroll systems.

We are looking for a trustworthy, tech-savvy, and communicative individual to own our finance and billing cycle. This role is ideal for an organized professional looking for a dedicated, long-term role within a collaborative, high-energy team.

Important Note:
Applicants without prior experience in QuickBooks Online (QBO) and healthcare-related billing/invoicing should not apply. We are specifically seeking candidates with proven experience in this type of work to ensure quality and reliability in our financial operations.

Responsibilities:

• End-to-End Billing: Manage the full invoice lifecycle, including the accurate generation and distribution of client invoices.
Payroll Processing: Support payroll workflows using AxisCare, CareScout, and QBO.
• System Synchronization: Trigger and monitor the data flow between AxisCare, CareScout, and QBO; perform routine reconciliations to ensure audit-readiness.
• Client Communication: Monitor the ---------- inbox and respond to client inquiries and concerns using our provided "sincere & humanized" communication templates.
• Collaboration: Be an active, engaged participant on MS Teams. Provide proactive updates, communicate clearly about task statuses, and be ready to huddle to resolve financial discrepancies.
• Documentation: Maintain accurate financial records and support documentation workflows using Monday./com.

Required Skills:

• Technical Proficiency: You are tech-savvy, comfortable learning new software, and have strong hands-on experience with QuickBooks Online (QBO).
• Healthcare Finance: Experience with home care payroll or Electronic Visit Verification (EVV) platforms (e.g., AxisCare) is a major advantage.
• CareScout Experience: Familiarity with CareScout is highly preferred.
• Billing Experience: Proven experience in invoice generation and healthcare/home care billing operations.
• Communication Pro: You love to communicate! You are active on MS Teams, provide proactive updates, and are committed to maintaining our brand’s sincere tone when resolving client concerns.
• Reliability: You are disciplined in meeting deadlines.
• Process-Driven: You love using project management tools (like Monday./com) to keep tasks organized and transparent.
• Autonomy: Ability to follow SOP-based workflows, manage time effectively, and work independently.

Good to Know:

• On-Demand Pay: We utilize TapCheck for our caregivers. This system pulls data directly from AxisCare; therefore, this role does not involve managing or troubleshooting the TapCheck platform.
• Flexibility: We support a results-oriented work environment. You are welcome to manage other professional commitments, provided that all financial deadlines are met without exception and your performance remains at a high standard.

Work Schedule:

• Schedule: Full-Time.
• Hours: 9:00 AM – 5:30 PM Pacific Standard Time (PST).
• Break: Includes a 30-minute break within the shift.

Compensation:

• $5 USD per hour.
