Practice Administrator / Virtual Executive Assistant
UK Accountancy Firm — Full-Time, UK Hours

About us
We are a growing, well-established chartered certified accountancy practice based in St Albans, England, serving over 1,000 clients — mainly owner-managed businesses, property investors, and healthcare practices. We're a friendly, close-knit team that invests heavily in modern systems and automation, and we're now building out our remote support function.
This is a long-term role for the right person. We're not looking for a short-term freelancer — we want someone who will become a core part of the team, learn our systems inside out, and grow with the firm.
The role
You'll be our Virtual PA to the Director, and Business Support/Practice Administrator — the engine room of the firm's admin function. You'll own the day-to-day administrative processes that keep a busy accountancy practice running: client onboarding, statutory filings, chasing information, preparing engagement documents, and keeping our practice management system accurate and up to date.
You'll work closely with our UK-based team, who will handle anything requiring a physical presence (post, in-person matters) — everything digital is yours.
Full training on our specific systems and processes will be provided, including recorded walkthroughs and written procedures for every task.
Day-to-day responsibilities
• Client onboarding — setting up new clients in our systems, issuing letters of engagement, running ID verification checks, and requesting professional clearance from previous accountants
• Letters of engagement (LoE) — drafting, issuing, and chasing signed engagement documents
• Companies House filings — preparing and filing confirmation statements (CS01s) and other statutory forms
• Chasing — following up with clients by
• Debtor management, and invoicing — sending payment reminders and following up on unpaid invoices by
• Payroll support — assisting with payroll preparation and administration, if you can manage the payroll function entirely, that would be ideal.
• Post triage — reviewing scanned incoming post, filing it to the correct client folder, and drafting notification
• Practice management housekeeping — keeping client records, deadlines, and task workflows accurate and up to date
• General admin — filing, document management, and supporting the wider team in a business support and administrative function.
• Private PA to the Director – including personal bills, household admin, property portfolio help, and all personal help with the Directors busy both home, personal and work schedule.
Working hours
This role works UK business hours: Monday–Friday, 9:00am–5:30pm UK time.

Must-have requirements
• 2+ years' experience in a virtual assistant, administration, or bookkeeping role — ideally supporting a UK business.
• Excellent written English — you'll be
• Highly organised and detail-obsessed — much of this work involves statutory deadlines where accuracy matters
• Self-managing — able to work through a task list independently, flag problems early, and ask good questions
• Reliable home office setup — fast, stable internet (minimum 25 Mbps with backup), a modern computer, and a quiet working environment
• Comfortable with confidential data — you'll handle sensitive client financial information; a signed confidentiality agreement and an NBI clearance will be required
Nice to have (but not essential — we will train you)
• Experience with UK accountancy firms or knowledge of UK compliance (Companies House, HMRC)
• Familiarity with any of: Xero, TaxCalc, BrightManager, BrightPay, Dext, or Microsoft 365/SharePoint
• Bookkeeping or accounts experience
• Experience using AI tools (e.g. Claude, ChatGPT) to work more efficiently — we're a very tech-forward firm and actively encourage this
