We are an established Australian commercial furniture brand supplying the hospitality industry, including restaurants, hotels, bars, clubs and commercial projects.
We work with overseas factories, Australian designers, architects, hospitality operators and trade clients. We are a small team and need a smart, organised coordinator to take ownership of sales administration and marketing execution.
This is not a basic VA role. We need someone who can think, write clearly, use technology well, and push back when something does not make sense.
What you will do:
- Prepare and manage customer quotes across multiple web stores
- Respond to inbound customer
- Follow up every open quote using a clear follow-up schedule
- Keep quote records, lead records and customer notes organised

- Help manage social media operations, including content scheduling, caption drafting, content calendar upkeep, post coordination and asset organisation
- Coordinate with outsourced creative/design support when required
- Prepare basic marketing assets when needed, such as resizing images, formatting product images, updating simple Canva layouts or preparing draft visual content for review
- Help maintain spreadsheets, CRM records and internal task lists
- Chase missing information from customers and internal tea
- Escalate technical, commercial, design or pricing questions when needed
What we are looking for:
- Marketing or IT background, either through study or work experience
- Strong written English suitable for Australian business customers
- Comfortable using technology, spreadsheets, AI tools, web admin systems and social media tools
- Able to learn platforms such as Magento, Shopify, Odoo, Gmail workflows,
- Practical social media experience for business pages, not just personal posting
- Basic design sense is desirable, especially around image quality, clean layout, product presentation, Canva, Photoshop, Illustrator, InDesign or similar tools
- Independent thinker who can question instructions and suggest better ways to work
- Organised, reliable and comfortable working with a small business team
- Available 10am to 5pm Sydney time, Monday to Friday
Preferred background:
Experience in commercial furniture, hospitality fit-out, interiors, FF&E, joinery, trade supply, visual merchandising, product marketing or design support is preferred.
We are also open to candidates from related B2B industries such as building products, commercial equipment, wholesale/import, hospitality suppliers, construction suppliers or trade services.

3. List the B2B trades or industries you have supported and what you personally handled day to day. Mention if any work touched furniture, interiors, fit-out, FF&E, construction, building products, wholesale, hospitality, social media or design support.
