Job Overview:
This position is for a small-sized private practice located in Rhode Island and services clients in mutiple other states. Help is needed to negotiate with insurance companies, Medicaid, and Medicare. Some understanding of mental health licensing.
We are seeking a highly organized and detail-oriented Virtual Assistant with experience in administrative work within the mental health field. The ideal candidate will have knowledge of credentialing therapists with insurance panels and an understanding of claims and billing processes. This role will provide essential administrative support to our team and ensure the smooth operation of credentialing, billing, and general office tasks.
Responsibilities:
Credentialing & Insurance Paneling:
• Assist therapists with credentialing and re-credentialing for insurance panels.
• Maintain accurate and up-to-date records of providers’ licensure, CAQH profiles, and NPI numbers.
• Submit and track applications, following up as needed to ensure timely approvals.
• Communicate with insurance companies to resolve credentialing issues.
Billing & Claims Management:
• Assist with verifying client insurance eligibility and benefits.
• Support the submission, tracking, and reconciliation of insurance claims.
• Address and resolve claim denials and discrepancies with insurance providers.
• Assist with invoicing and follow-ups on outstanding balances.
Qualifications:
• Experience in mental health administration or a similar field.
• Knowledge of insurance credentialing and billing procedures.
• Familiarity with EHR systems (e.g., SimplePractice, TherapyNotes, or similar).
• Strong attention to detail and ability to manage multiple tasks.
• Excellent communication skills and professionalism.
• Proficiency in Google Workspace (Docs, Sheets, Gmail, Drive) and other administrative tools.
• Ability to work independently and meet deadlines.
Preferred Qualifications:
• Experience working with private practices or mental health agencies.
• Knowledge of HIPAA compliance.
• Previous experience working in a remote setting.
