Operations Manager (Real Estate Support)

Work Hours: 48 hrs/week, aligned with overseas sales team hours

About the Role
We're a growing real estate business looking for an experienced Operations Manager to provide comprehensive operational, administrative, and systems support across two businesses. You'll be a key operator behind our CRM, deal pipelines, financial operations, and internal systems — while also directly supporting our team of overseas sales representatives with scheduling, documentation, and coordination.
This is a great fit for someone who thrives on structure, loves optimizing systems, and is comfortable working directly with leadership and a sales team on high-impact, cross-functional initiatives.
What You'll Do
CRM & Pipeline Management
Administer and maintain CRM systems, ensuring accuracy and data integrity
Manage deal pipelines and keep property listings and lead records up to date
Track deadlines: escrow periods, listing expiry, and follow-up schedules
Build and optimize automations and workflows
Scheduling & Coordination
Manage calendars, schedule interviews, property viewings, and tea
Coordinate communications between overseas agents, clients, and internal teams
Documentation & Compliance
Prepare, organize, and file real estate documents: listing agreements, contracts, closing papers, and compliance forms
Oversee process documentation and keep it current
Financial & Operational Support
Coordinate payroll and invoicing processes
Track KPIs and prepare performance reports for leadership
Support financial operations and reporting needs
KPI & Performance Tracking
Track and report on department-level KPIs, including renegotiation success rates within the customer relations department
Monitor time-to-list metrics and other disposition/listing performance data
Build and maintain dashboards/reports so leadership has real-time visibility into key metrics across departments
Identify and flag trends or performance gaps for leadership review
Systems, Content & Training
Maintain and troubleshoot internal systems
Create branded content and training/resource materials
Assist with basic marketing materials (Canva),
Cross-Functional Collaboration
Work closely with leadership and internal teams to keep priorities aligned
Liaise with external partners to improve operational efficiency
Support execution of key business initiatives from start to finish
Requirements
1+ years of experience as an Operations Manager, Executive Assistant, Executive Virtual Assistant, or similar operational support role
Strong analytical skills with experience tracking and reporting on KPIs across multiple departments
Background in real estate required (industry knowledge, terminology, and paperwork)
Hands-on experience with
Working knowledge of Plecto (required)
Proven CRM administration experience (e.g., HubSpot, Salesforce, GoHighLevel, Zoho, MLS)
Experience building automations (Zapier, Podio, RingCentral, or native platform automations) a plus
Strong understanding of payroll/invoicing processes and financial operations support
Excellent written and verbal English communication; professional client-facing skills
Highly organized, detail-oriented, and able to manage multiple priorities across two businesses with minimal supervision
Proficient in Google Workspace / MS Office, Zoom, and file management
Tech-savvy, self-motivated, and quick to learn new tools and systems
