We are a growing group of dental practices based in Ireland, operating multiple clinics with further expansion underway. We already work with a marketing company that runs much of our advertising — what we need now is someone in-house to own the daily picture: are leads coming in, are the campaigns actually performing, are those leads being contacted fast enough, and where are we leaking money or opportunities. You'll be the person who keeps everyone honest and the system tight.
What You'll Be Doing
Reviewing incoming leads every working day across all clinics and campaigns
Monitoring campaign performance (Meta & Google Ads) — spotting drops, spikes, attribution gaps, and wasted spend, and flagging them quickly
Tracking speed-to-lead: making sure every lead is contacted within target time, and surfacing the ones that slip through
Holding both the marketing company and the clinic teams accountable to the numbers — clear daily/weekly reporting on leads, cost-per-lead, contact rates, and conversions
Building and maintaining automations — lead routing, follow-up sequences, alerts for uncontacted leads, reminders, and reporting dashboards
Keeping lead data clean and consistent across the CRM and clinic systems
Liaising with our external marketing company — interrogating their reports rather than taking them at face value
Identifying patterns: which campaigns, locations, and treatments produce the best leads and the best conversions
What We Need From You
Demonstrable experience in the dental industry (or, at minimum, healthcare/clinical/multi-site services) — you understand the patient journey from enquiry to booked appointment
Solid working knowledge of Meta Ads and Google Ads — enough to read performance data critically, spot problems, and challenge an agency, even if you're not the one building campaigns from scratch
Hands-on experience setting up automations — [e.g. Zapier, Make, GoHighLevel, n8n — confirm your tools]
Strong analytical skills — comfortable living in spreadsheets, dashboards, and lead reports
A sharp eye for detail and a "follow the lead until it's resolved" mentality
Excellent written English and clear, proactive daily communication
Reliable computer and stable internet connection
Nice to Have
Experience with CRM and lead-management systems
Familiarity with dental practice management software (e.g. Aerona, Dentally)
Experience working alongside or managing an external marketing agency
GA4, call-tracking, and UTM/attribution experience
Experience across multiple locations/accounts simultaneously
