I am done wasting time and money on VAs who overpromise and underdeliver. This posting is intentionally blunt so only qualified, serious candidates apply. If you do not meet ALL of the requirements below, do not apply — you will not be considered, and applications that ignore this will be deleted without a response.
Non-Negotiable Requirements — ALL of these are deal-breakers if not met:
1 -Speak and write English clearly. If you have a thick accent or are not fluent in written and spoken English, do not apply. This is an immediate disqualifier.
2 - Be an actual, hands-on expert in bookkeeping, payroll, and HR administration. I use QuickBooks Online, Cin7 Core for inventory/COGS, MakersHub for AP, and Paylocity for payroll. If you claim experience with these tools and then have to Google how to do basic tasks once hired, this is an immediate disqualifier. You will be tested before hire — see below.
3 - Explain things simply. I am not an accountant. If I ask you a question and you can't break it down in plain language I understand right away, do not apply. I need someone who translates the technical into the simple, not someone who talks over my head.
4 - Follow instructions exactly. I have had VAs guess at what I wanted, get "creative," do work I never asked for, and then expect to be paid for it. This happens ONCE and we're done. I am open to your suggestions on better ways to do things — but only with my approval before you act. Suggest, don't assume.
5 - Do not pad your hours. I know roughly how long tasks take, and I am generous about it. If I see 15-minute tasks billed as multi-hour tasks, my generosity disappears immediately and so does the job.
6 - Show up on time, every time. I understand life happens — tell me in advance and I will be understanding. Chronic lateness or last-minute excuses (storms, internet outages, etc., without advance notice) will end this immediately. One strike.
7 - We pay via Payoneer ONLY. No exceptions. If you don't have a Payoneer account or can't set one up, do not apply. This is nonnegotiable — no PayPal, no Wise, no bank transfer, no other method.
8 - We track time using Timeproof. Mandatory, no exceptions. If you are not willing to use Timeproof for every hour billed, do not apply. This is not up for discussion.
9 - Meetings are professional — no children visible or audible on camera. These are leadership meetings. My team does not bring kids into the office, and I expect the same from you. Have children asleep, at school, or with another caregiver during our scheduled meeting times. If a child is on camera or heard in the background, the meeting will end.
10 - If I call you during paid hours, you answer. Period. No exceptions, no "I saw it but was busy." If you're on the clock, you're reachable.
What You'll Be Doing:
Full-cycle bookkeeping in QuickBooks Online — transaction coding, reconciliations, AP/AR
Inventory and COGS tracking and reconciliation in Cin7 Core
Vendor bill capture, approval routing, and payment processing through MakersHub or QBO
Payroll support and coordination through Paylocity
HR administrative support — onboarding documentation, recordkeeping, basic compliance tasks
Monthly financial reporting to ownership
