We are a concrete, drainage, and site-work construction company based in Arkansas. We are looking for a full-time virtual assistant to help run the office side of the business, manage leads, operate GoHighLevel, schedule estimate appointments, follow up with customers, and keep the CRM organized.
This is not an estimating role. The owner handles pricing, estimating, and technical construction questions. Your role is to make sure every lead is contacted, every customer is followed up with, every appointment is organized, and every opportunity has a clear next step.
Main Responsibilities:
* Monitor new leads in GoHighLevel
* Call, text, and
* Follow up with old leads and no-response leads
* Collect customer name, phone number, address, job type, photos/videos, and project notes
* Book estimate appointments based on the owner’s available time windows
* Confirm and reschedule estimate appointments
* Update pipeline stages, tags, notes, tasks, and customer information in GoHighLevel
* Follow up after estimates are sent
* Send estimates, invoices, and payment links after owner approval
* Organize job notes, photos, videos, and customer details
* Help prepare job folders and sub bid packets
* Send daily reports on leads, appointments, estimates, follow-ups, and hot prospects
* Notify the owner when a customer needs a direct call about pricing, scope, scheduling, or technical questions
Requirements:
* Advanced written and spoken English
* Experience with GoHighLevel or similar CRM
* Experience with lead management, appointment setting, or customer support
* Comfortable calling and texting customers
* Strong organization and attention to detail
* Able to follow scripts, checklists, and daily processes
* Reliable full-time availability
* Must overlap with U.S. Central Time business hours
* Must be comfortable working U.S. hours if located overseas
Preferred Experience:
* Home service, construction, roofing, HVAC, plumbing, landscaping, real estate, or contractor admin experience
* Google Calendar, Google Sheets,
* Basic Spanish is a plus but not required
Schedule:
Full-time, Monday–Friday.
Preferred hours:
10 AM–6 PM U.S. Central Time, or similar Central Time overlap.
Compensation:
Based on experience. Paid trial period available before long-term placement.
