Position Overview
We are seeking a highly organized, detail-oriented Real Estate Investment Operations Manager to execute the day-to-day operations of our BRRRR (Buy, Rehab, Rent, Refinance, Repeat) real estate investment strategy.
This individual will not make investment decisions but will manage nearly every operational component of the acquisition, renovation, leasing, refinancing, and ongoing coordination process.
The ideal candidate loves systems, checklists, project management, spreadsheets, communication, and solving problems. Their success will allow the investor to focus on strategy and capital allocation rather than administrative work.
Primary Responsibilities
1. Deal Sourcing & Market Research
Search the MLS, Zillow, Redfin,
Research neighborhoods based on investment criteria.
Analyze comparable sales (ARVs).
Research rental comparables.
Calculate estimated cash flow.
Build investment spreadsheets.
Identify properties that meet our BRRRR criteria.
Present qualified opportunities for review.
2. Acquisition Coordination
Once a property is selected:
Coordinate with our Realtor.
Coordinate inspections.
Obtain repair estimates.
Schedule contractor walkthroughs.
Collect documentation.
Organize purchase paperwork.
Track deadlines.
Maintain due diligence checklist.
3. Rehab Project Management
Coordinate (not perform) renovations by:
Maintaining project timelines.
Tracking budgets.
Following up with contractors.
Requesting progress photos/videos.
Managing change orders.
Verifying completed work.
Scheduling inspections.
Updating project dashboards.
4. Vendor Management
Maintain relationships with:
Realtors
Contractors
Handymen
Electricians
Plumbers
HVAC companies
Roofing companies
Inspectors
Attorneys
Insurance agents
Lenders
Property managers
Title companies
Maintain a preferred vendor database.
5. Leasing Coordination
Work with the property manager to:
Ensure property is rent-ready.
Schedule photography.
Coordinate listings.
Verify rental pricing.
Track applications.
Coordinate lease execution.
Confirm move-in dates.
6. Refinance Coordination
Prepare refinance packages including:
Updated financials.
Rehab costs.
Before/after photos.
Property documentation.
Income statements.
Rent rolls.
Insurance documents.
Coordinate directly with lender.
7. Property Management Oversight
Coordinate with our property manager by:
Reviewing monthly reports.
Tracking occupancy.
Following up on maintenance.
Monitoring expenses.
Reviewing tenant issues.
Ensuring timely communication.
Escalating major issues.
8. Financial Tracking
Maintain spreadsheets for:
Purchase price
Closing costs
Rehab budget
Actual rehab costs
Carrying costs
Interest expenses
Rental income
Cash flow
ROI
Equity
Loan balances
BRRRR performance metrics
9. Systems & Documentation
Maintain:
Google Drive organization
Standard Operating Procedures (SOPs)
Contractor database
Property files
Investment dashboard
Checklists
Calendars
Project timelines
10. Weekly Reporting
Prepare weekly reports including:
Current acquisitions
Rehab status
Budget updates
Upcoming deadlines
Risks
Vendor issues
Cash flow summary
Recommended priorities
Required Skills

What Success Looks Like
Within six months, the Real Estate Investment Operations Manager will have built repeatable systems that allow us to purchase, renovate, rent, refinance, and stabilize investment properties with minimal involvement from the owner. The goal is to reduce the owner's operational workload to strategic decision-making while ensuring each BRRRR project moves efficiently from acquisition through refinancing.
