Administrative Coordinator – International Operations
We are looking for a highly organized, detail-oriented, and proactive Administrative Coordinator to support our China operations team.
This role is ideal for someone with exceptional written English, fluent Mandarin communication skills, strong administrative experience, and a high level of proficiency with modern AI tools. You will serve as the communication bridge between our China team and our North American partners, working closely with the China team to ensure all business communications are professional, clear, and effective.
This is not simply an administrative role. Your primary responsibility is to facilitate smooth communication and coordination between our China office and our North American partners.
Key Responsibilities
• Draft, edit, and send professional business
• Communicate effectively with the China team in Mandarin to gather information, clarify details, and coordinate follow-ups.
• Coordinate day-to-day communications between the China office and North American partners.
• Ensure all written communication is clear, professional, and aligned with business objectives.
• Leverage AI tools to improve communication quality, assist with research, summarize information, and optimize administrative and coordination workflows.
• Follow up on pending action items, requests, and ongoing projects to keep communication moving efficiently.
• Assist the China operations team with administrative coordination and documentation.

• Provide general administrative support to the China team as reasonably required.
Qualifications
• Fluent in Mandarin and excellent written/verbal English communication skills.
• Strong business
• Highly proficient in using AI tools such as ChatGPT, Claude, Gemini, Microsoft Copilot, or similar to enhance productivity, draft and refine professional communication, conduct research, summarize information, and streamline administrative workflows.
• Previous experience in an administrative, executive assistant, operations, project coordination, or similar role.
• Exceptional attention to detail with strong proofreading and editing abilities.
• Highly organized and capable of managing multiple priorities simultaneously.
• Strong critical thinking and problem-solving skills.
• Able to work independently with minimal supervision while collaborating effectively with international teams.
• Proficient in Microsoft Office and Slack.
• Experience in manufacturing, supply chain, procurement, or international business is an advantage.
