Overview
New Business Case Specialist serves as a key member of the Operations team, responsible for ensuring seamless execution of New Business and Client Service workflows. This role requires exceptional organizational skills, attention to detail, and a commitment to delivering a top-tier client experience. The role facilitates new client onboarding, supports prospect account opening, and manages internal operations and workflow-related projects within the Operations (OPS) team.
Key Responsibilities
1. New Business Operations
- Assist with opening new accounts for prospects, ensuring compliance and accuracy in documentation.
- Launch and manage new client onboarding workflows in the CRM system (e.g., Wealthbox), including assigning tasks to the appropriate tea
- Ensure all new account DocuSigns are sent to new clients within 2 hours of receiving a complete data request.
- Track and ensure new client signatures are obtained within 48 hours of sending DocuSign requests.
- Follow up on pending applications and account signatures daily to avoid processing delays.
- Maintain daily communication with carriers and clients to address outstanding requirements and ensure smooth processing of applications.
2. Workflow Management
- Monitor and track the completion of tasks in workflows to ensure timely execution.
- Ensure workflows are completed on time and escalations are addressed promptly if delays occur.
- Regularly update the production tracker to reflect workflow status and completion rates.
3. Metrics and Reporting
- Compile and deliver weekly New Business metrics to leadership, including:
-Number of new applicants.
-Total new assets brought in (AUM and FIA).
-Funding progress for new FIA and AUM accounts.
-Number of implementations completed.
-Number of implementations scheduled.
-Percentage of tasks in workflows completed on time.
-Percentage of DocuSigns sent within 2 hours of receiving complete data.
-Percentage of new client signatures obtained within 48 hours of sending DocuSign requests.
- Update the production tracker daily to reflect current progress, ensuring accuracy and visibility for the team.
4. Client Service Excellence
- Collaborate with the FCR team to address client inquiries and provide status updates on applications and account setup.
- Support ongoing client service workflows, including updates for beneficiaries, address changes, or account consolidations.
- Coordinate with Relationship Advisors to ensure smooth transitions for new clients and seamless service delivery.
5. Team Collaboration and Projects
- Assist with FCR and OPS team projects, ensuring deadlines are met and team communication is maintained.
- Identify process inefficiencies and recommend improvements to enhance operational effectiveness.
- Maintain a collaborative relationship with advisors, carriers, and internal teams to ensure client satisfaction.
