JOB OVERVIEW

We are a Melbourne-based business operations and consulting firm working with multi-site food and hospitality businesses across Australia. We are looking for a sharp, organised, and proactive Operations & Recruitment Coordinator to work exclusively across one of our key client accounts - a growing food business with three locations in Sydney.

This is a full-time remote role managed and supervised directly by us. You will be embedded in the client's day-to-day operations, acting as their right hand for recruitment, administration, and communications — freeing up the business owner to focus on growth.

What you'll be doing
Recruitment & HR coordination

Posting job ads, screening applications, coordinating online interviews, preparing candidate shortlists, and managing the end-to-end hiring process for multiple roles across three locations

Inbox & email management

Managing inbound and outbound email communications on behalf of the client, including supplier follow-ups, candidate correspondence, scheduling, and general enquiries

Outreach & communications

Proactive outreach to candidates, suppliers, and partners as directed — handling both inbound and outbound so nothing falls through the cracks

Administrative support

Data entry, report preparation, document management, quote requests, scheduling, and ad hoc tasks that support the smooth running of the business

Weekly reporting

Providing a weekly summary of all tasks completed, in progress, and outstanding - reported to us and shared with the client

What we're looking for
Minimum 2 years experience in a recruitment, admin, operations, or virtual assistant role

Excellent written and spoken English — clear, professional, and confident communicator

Highly organised with strong attention to detail and the ability to manage multiple tasks simultaneously

Experience managing email inboxes and communications on behalf of a business owner or manager

Comfortable working independently and proactively — you don't wait to be told what to do next

Familiarity with job platforms (Indeed, Seek, LinkedIn) and online interview coordination

Reliable internet connection, dedicated workspace, and available during Australian business hours (AEST)

Nice to have
Background working with food, hospitality, or retail businesses

Experience with CRM or task management tools (Odoo, ---------- , Trello, or similar)

Previous experience working with Australian clients or businesses
