We are seeking an experienced Virtual Assistant Manager to join and support our fast-growing short-term rental management company. This role is not only operational but also supervisory, as we currently have a team of 3 VAs. The ideal candidate will take ownership of overseeing the current VA team, assisting them when needed, and ensuring smooth day-to-day operations.
This is a full-time position requiring a 50-hour workweek - 10 hours per day, 5 days per week (Thu-Mon), 11am-9pm PT, but you are required to stand by between 9-11pm in case of urgent cases. The role requires availability for evening, night, and weekend work as operational needs dictate. All tasks must be completed personally. Delegating work to sub-VAs is strictly prohibited.
Team Management
- Supervise, support, and mentor a growing team of 3 Virtual Assistants handling guest communication and daily operations.
- Monitor team performance and ensure standards are met (response rate, resolution quality, guest satisfaction, task completion, etc).
- Conduct regular check-ins, performance reviews, and lead weekly tea
- Provide coaching, feedback, coverage, 1 on 1 meetings, and ongoing training.
Operational Oversight
- Oversee daily guest communication workflows, ensuring timely and high-quality responses.
- Manage escalation issues and support VAs with complex guest situations.
- Assist with administrative tasks such as but not limited to relistings, updating listings, outreaching for vendors (handyman, cleaners, lawn maintenance, etc), and other tasks.
- Coordinate with maintenance, cleaning, and other vendors as needed.
- Ensure SOPs are followed and updated as needed.
- Conduct daily reports for skip managers.
- Maintain high guest satisfaction and consistency in service delivery.
Operational & Performance Improvements
- Optimize account settings, including PMS workflows, OTA configurations, and third-party integrations.
- Monitor account health, listing performance, and revenue to identify issues and improvement opportunities.
- Track guest messages, reviews, tickets, and tasks to ensure timely follow-up.
- Identify recurring problems and implement process improvements.
- Lead expansion efforts for new OTAs and direct-booking channels.
Scheduling & Resource Management
- Manage VA work schedules to ensure coverage across time zones and peak periods.
- Track attendance, productivity, and workload distribution.
- Assist with onboarding and training of new VAs as the team grows.
Qualifications
- Proven experience with Airbnb, VRBO, Bookings, or other short-term rental platforms.
- Prior experience managing or supervising a VA team is strongly preferred.
- Familiarity with Hostaway and Pricelabs property management software is required.
- Excellent written and verbal communication skills in English.
- Strong organizational skills with great attention to detail.
- Ability to problem-solve and handle multiple tasks under pressure.
- Proactive, self-motivated, and able to work independently with minimal supervision.
- Experience working across different time zones is a plus.
- You will be working in US Pacific timezone.
