This is a backend operations role focused on ensuring company information is accurate, complete, organized, and reliable.
POSITION OVERVIEW
The Systems Accuracy Coordinator supports the Admin Assistant and Owner by identifying mistakes, inconsistencies, and missing information before they become problems.
Your job is to make sure our systems are correct.
You will review timesheets, invoices, quotes, job details, and operational records to ensure everything is accurate before it impacts customers, employees, payroll, or company operations.
If you naturally catch mistakes, enjoy checklists, and believe details matter, this role may be an excellent fit.
MANDATORY REQUIREMENTS
Recent, hands-on Jobber experience is required.
Candidates without substantial Jobber experience will not be considered.
You should be comfortable navigating Jobber and performing tasks such as:
• Reviewing jobs and visits
• Reviewing quotes and invoices
• Auditing job details
• Reviewing timesheets
• Verifying customer information
• Reviewing notes and attachments
• Identifying inconsistencies within the platform
Additional Requirements:

• Reliable internet connection
• Strong organizational skills
• Ability to work independently
• Ability to follow established systems and procedures
• Comfortable learning new software and workflows
CORE RESPONSIBILITIES
1. TIMESHEET VERIFICATION
• Review employee timesheets for accuracy
• Verify clock-in and clock-out records
• Identify discrepancies and missing information
• Flag issues before payroll review
2. INVOICING
• Prepare and process customer invoices
• Verify invoice accuracy before sending
• Ensure completed work aligns with invoiced services
3. QUOTING
• Prepare customer quotes using company systems
• Verify quote accuracy and completeness
• Follow established pricing guidelines
4. JOB READINESS REVIEW
Review upcoming jobs to ensure they are fully prepared, including:
• Accurate job notes
• Access information
• Attachments and checklists
• Before photos when applicable
• Correct service duration
• Proper crew assignments
• Complete customer information
Identify missing information before jobs occur.
SYSTEMS MANAGEMENT
• Maintain accurate records in Jobber and company systems
• Ensure operational information remains organized
• Support system accuracy and consistency
PROCESS IMPROVEMENT
• Document recurring processes
• Maintain SOPs and internal documentation
• Identify inefficiencies and opportunities for improvement
• Support operational excellence through consistent systems
