Position Overview

We are seeking a highly organized, detail-oriented HR & Payroll Administrator to support our growing team. This role is responsible for payroll processing, onboarding and offboarding coordination, recruiting support, and ongoing HR administrative functions. The ideal candidate is comfortable working with confidential information, thrives in a fast-paced environment, and can manage multiple HR processes with accuracy and professionalism.

Payroll Processing
• Administer and process payroll accurately and on time
• Ensure payroll compliance with federal, state, and local requirements
• Research and resolve payroll discrepancies by gathering and analyzing information
• Create and process commissions and other variable pay
Onboarding & Offboarding
• Coordinate and deliver new hire onboarding and orientation (policies, benefits, next steps)
• Manage offboarding details including final pay coordination, exit steps, and company property return tracking
• Maintain employee records and documentation in line with company standards and legal requirements
Recruiting Support
• Post job openings, screen resumes, schedule interviews, and support hiring managers through the hiring process
• Maintain timely, professional communication with candidates and provide consistent status updates
• Help implement practical recruiting strategies to attract strong candidates
HR Administration & Process Support
• Maintain, audit, and update HRIS, employee files, and HR databases
• Prepare HR reports and tracking as needed (headcount, onboarding progress, recruiting metrics, etc.)
• Support HR projects and process improvements to make processes more efficient and consistent
• Provide general office/administrative support as needed, including phone coverage



Skill Sets Required:
• Strong attention to detail (especially with payroll and employee data)
• Excellent organization and follow-through in a fast-paced environment
• Professional communication skills and ability to work cross-functionally with hiring managers
• Comfort handling confidential information with discretion
• Solid technical skills (HRIS systems, spreadsheets, ATS or recruiting tools)
• Ability to manage multiple priorities and meet deadlines consistently
• Problem-solving mindset with strong analytical skills
• Strong English fluency



Virtual Assistant Tasks:
Daily Tasks
• Process payroll-related updates and ensure accuracy of employee data
• Research and resolve payroll discrepancies as they arise
• Respond to employee payroll and HR-related questions
• Maintain and update HRIS and employee records
• Screen resumes and review incoming job applications
• Communicate with candidates regarding next steps and interview scheduling
• Provide professional communication and updates to hiring managers
• Provide general administrative support, including phone coverage as needed
• Maintain confidentiality of all employee information
• Interview Candidates Virtually

Weekly Tasks
• Process payroll (as scheduled) including commissions and variable pay
• Audit payroll data for compliance with federal, state, and local requirements
• Post new job openings and manage active job listings
• Schedule interviews and coordinate with hiring managers
• Prepare and update HR reports (headcount, recruiting progress, onboarding status)
• Support onboarding coordination for upcoming new hires

Monthly Tasks
• Conduct payroll audits to ensure ongoing compliance and accuracy
• Prepare monthly HR reporting (headcount summaries, recruiting metrics, turnover tracking)
• Review and update employee files to ensure documentation compliance
• Support process improvement initiatives to streamline payroll and HR workflows
• Review commission/variable pay structures and ensure proper processing

Additional Tasks
• Coordinate and deliver new hire onboarding/orientation (policies, benefits, next steps)
• Manage offboarding process including final pay coordination and property return tracking
• Help implement practical recruiting strategies to attract strong candidates
• Support HR projects and special initiatives assigned
• Assist with improving HR systems, documentation processes, and reporting tools
