Sales & Marketing Virtual Assistant — U.S. Cleaning Business
We are Merlin’s Maids, a growing residential cleaning company based in North Alabama, USA. We are hiring a Sales & Marketing Virtual Assistant who can confidently handle lead follow-up, sales conversations, applicant screening, GoHighLevel-based CRM updates, and AI-assisted ad creative work.
This is not a generic admin-only role. We are looking for someone with real sales or marketing experience who can communicate well, build trust quickly, handle objections, follow up consistently, and use AI/tools to improve their work.
You’ll help with warm leads interested in our cleaning services, cleaner applicant follow-up, social media/ad creative support, and the daily growth tasks that keep people from falling through the cracks.
This role is ideal for someone who thrives in sales conversations, knows how to build rapport quickly, doesn’t shy away from tough questions or hesitations from prospects, and can stay organized across multiple follow-up lanes.
Key responsibilities
Sales / lead follow-up
- Take inbound sales calls/messages from interested leads and follow up with outbound calls/messages when needed.
- Confidently explain our services and walk customers through pricing, packages, and next steps.
- Handle common objections — pricing, scheduling, trust concerns — with professionalism and ease.
- Convert warm leads into scheduled jobs with a consistent close rate.
- Help qualify leads, answer basic questions, and move prospects toward booking.
- Maintain excellent customer service before, during, and after the sale.
GoHighLevel CRM / follow-up tracking
- Manage CRM updates, lead tracking, post-call notes, tasks, and next steps.
- Our CRM is based on GoHighLevel, so GoHighLevel experience is a plus.
- Keep pipeline stages, notes, tags, tasks, conversations, and follow-up workflows clean and accurate.
- Make sure no strong lead, applicant, or follow-up task falls through the cracks.
Hiring / applicant screening
- Follow up with cleaner applicants and help screen candidates.
- Conduct or assist with initial screening conversations/interviews.
- Ask good questions, listen carefully, and help identify candidates with integrity, reliability, and customer-safe communication.
- Coordinate next steps such as onboarding documents, background checks, test cleans, and follow-up reminders.
Marketing / AI ad creative support
- Help create or improve social media content, ad copy, hooks, headlines, and simple creative concepts.
- Use Higgsfield or similar AI creative tools to help produce and test ad creative when needed.
- Help organize ideas for
- Use AI tools thoughtfully to speed up writing, hooks, research, and creative variations — but still apply human judgment.
- Treat AI-assisted creative work as an important part of the role, not an occasional side task.
Admin / operations follow-through
- Assist with scheduling, follow-up
- Keep tasks organized and communicate status clearly.
- Follow written processes and ask questions when something is unclear.
- Communicate professionally with customers, applicants, and tea
Required experience
You should have experience in at least one real sales or marketing lane, such as:
- Sales closing
- Lead generation
- SDR / appointment setting
- Inbound lead handling
- Outbound follow-up
- Social media marketing
- Meta/Facebook ad creative or campaign support
- GoHighLevel / CRM work, especially pipeline updates, notes, tasks, tags, conversations, and follow-up workflows
- AI creative tools such as Higgsfield, video/ad creative tools, or content creation for business marketing
You do not need to be an expert in every area, but you must have real experience in at least one sales or marketing lane and be willing to learn the rest.
What we are looking for
- Fluent English with strong conversational skills.
- Comfortable talking to U.S. customers and building rapport quickly.
- Proven ability to overcome objections and move people toward a decision.
- Detail-oriented with solid administrative follow-through.
- Able to work independently and take initiative without constant supervision.
- Strong follow-up habits — you do not let people fall through the cracks.
- Good judgment with people: able to qualify, ask questions, and notice red flags.
- Reliable, honest, responsive, and able to follow directions.
- Comfortable using AI tools like ChatGPT, Claude, Gemini, Higgsfield, or similar tools to improve work output.
- Willing to learn tools such as GoHighLevel-based CRM systems, BookingKoala, Slack, Higgsfield, Meta Business Suite, Google Workspace, and other business software.
- Experience with cleaning, home services, appointment setting, or U.S. local service businesses is preferred but not required.
Technical requirements
- Reliable computer.
- Minimum 30 Mbps internet connection, preferably wired.
- Backup internet and backup power device or a clear backup plan for emergencies/power outages.
- Quiet, professional work environment with minimal background noise.
- Headset or microphone suitable for phone/Zoom/Google Meet conversations.
Schedule
Full-time role. Must be available during U.S. Central Time business hours.
Final schedule can be discussed with strong candidates.
Pay
Starting range: $4–$5/hour depending on experience, skill level, and fit.
We also use various incentives and bonuses for strong performance, depending on the role, results, and business needs.
Higher consideration may be given to candidates with strong proven sales, lead generation, appointment-setting, GoHighLevel/CRM, Meta ads, AI-assisted creative, or marketing-channel experience.
