A Queensland lychee orchard is expanding into direct-to-consumer retail — launching a Shopify store, a new product range (preserved lychees, jam, liqueur, and vodka), and a full digital marketing function, all from scratch. This part-time VA role exists because the founder is an innovator and a farmer — not a content scheduler — and she needs someone to own the digital execution so she can stay focused on the bigger picture. You're joining at the very beginning of something real, with genuine scope to help shape how it runs.
Hours & Setup
20 hours per week | Monday to Friday (~4 hours/day)
Flexible schedule — morning block or split shift; to be confirmed on placement
Location: Fully remote
Trajectory: Long-term part-time arrangement; the role is expected to grow alongside the e-commerce arm of the business as it matures
What You'll Be Doing
E-Commerce Management (Shopify)
Assist with website content during the build phase — product descriptions, policy pages, collection setup
Manage day-to-day Shopify operations once
Pull and report on weekly store performance metrics: traffic, conversion, average order value, and sales
Monitor stock levels across all products; manage sold-out and pre-order settings
Keep all product pages accurate, well-written, and on-brand
Research and recommend relevant Shopify apps (back-in-stock alerts, low-stock notifications, urgency features)
Email
Take over Klaviyo account management once initial developer setup is complete
Build and schedule campaigns aligned to the quarterly marketing plan
Maintain and optimise automated flows: welcome series, abandoned cart, post-purchase, re-engagement, and back-in-stock
Report on campaign performance: open rates, click-throughs, and conversions
Grow the subscriber database from zero using opt-in forms and website integrations
Social Media & Content (Meta Business Suite)
Audit and refresh existing
Tidy up Instagram Highlights, outdated posts, and profile/bio details
Develop and manage a quarterly social media content plan across
Create and schedule organic content using Meta Business Suite
Analyse existing high-performing posts to identify what resonates and replicate the approach
Write copy for product launches, campaign promotions, event announcements, and seasonal content
Marketing Planning & Strategy Execution
Assist in developing the marketing plan for the lychee liqueur and vodka launch (target: September 2026)
Build quarterly marketing plans that connect content,
Assist with planning and promotion for an on-farm product launch event, including partner outreach
B2B Sales Support & Outreach
Build targeted prospect lists for wholesale outreach: premium cocktail bars, Chinese restaurants, gourmet food stores
Draft and send outreach
Follow up on outreach and track responses
Coordinate sample sends: confirm recipients, track what's been sent and to whom
Set up and maintain a basic CRM (within Klaviyo or a lightweight tool) to track wholesale contacts and follow-up timing
Customer Service — Harvest Season (December–January)
Manage incoming customer enquiries via
Handle order tracking queries with the logistics partner and update customers proactively
Process refund requests and flag recurring issues
Manage customer expectations around delivery windows, product condition, and care instructions
General Admin & Content Support
Write website content as directed: FAQs, policies, blog posts, recipes, and supporting pages
Manage ad hoc tasks from the business owner via WhatsApp and track them in Asana
Send a daily morning message outlining priorities and an end-of-day summary covering completed tasks, work in progress, and items requiring input or approval
Assist with research tasks: market trends, competitor analysis, event ideas
Draft internal SOPs as processes are established
Systems & Documentation
Set up and maintain Asana as the primary task management tool
Document processes and build SOPs as tasks are locked in
Contribute to building workflows for this new arm of the business as it develops
What We're Looking For
Experience
Hands-on Shopify store management — non-negotiable; must be able to hit the ground running without guidance
Email
Social media content creation and management across Instagram and
Direct-to-consumer or product-based e-commerce background
B2B outreach or sales support experience: building lists, writing outreach, following up
Customer service experience in an e-commerce or product business
Agriculture, food production, or premium food and beverage background: a genuine plus, not required
Technical Skills
Shopify — mandatory, high proficiency; product management, collections, apps, and reporting
Klaviyo — required; flows, campaigns, segmentation, and list building
Meta Business Suite — required; page management, scheduling, and analytics
Canva — proficient; able to create on-brand social graphics and marketing assets
Google Workspace — comfortable across Drive, Docs, Sheets, Meet, and Chat
Asana — comfortable or genuinely willing to learn; you'll set it up and own it
Meta Ads — nice-to-have; not required at the start but may be called upon down the track
Communication & Work Style
Strong written English across all contexts: product copy, captions, customer
Proactive communicator — flags things early, asks the right clarifying questions before starting
Comfortable receiving direction by voice note and converting it into a clear task list without needing it repeated
Capable of producing meaningful work across a four-hour shift without hand-holding
Confident enough to offer a suggestion or a better approach when you see one
