ABOUT US
We're an established Australian online retailer (founded 2013) with a lean, remote team that runs a high-volume e-commerce operation. We sell across our own BigCommerce store, handle dropship and warehouse orders, and deal directly with trade and retail customers. We're not a startup — we have real systems, real processes, and we expect real performance.
ABOUT THE ROLE
This is an operations-focused VA role. You'll be working inside our actual systems daily — not doing generic admin. You'll process orders, coordinate with suppliers, send quotes and invoices, handle customer
Day-to-day responsibilities include:
* Processing customer orders accurately in our order management system (Cin7)
* Sending quotations and invoices to customers
* Coordinating with suppliers for dropship orders, stock checks, and ETAs
* Following up with suppliers and customers on outstanding matters
* Handling customer enquiries via
* Updating order statuses and maintaining accurate records
* Assisting with general e-commerce operations tasks as needed
TOOLS YOU'LL USE
We run a specific tech stack. Experience with any of these is a genuine advantage:
* Cin7 – inventory and order management (most important)
* Front – shared inbox / customer communications
* BigCommerce – our storefront
* Google Workspace – Docs, Sheets, Gmail, Drive
* Slack – internal team comms
You don't need to know all of these. But you must be genuinely tech-comfortable and able to learn systems quickly without hand-holding.
WHO WE'RE LOOKING FOR
* Proven e-commerce VA experience — order processing, supplier comms, customer support. Not general admin.
* Excellent written English — clear, professional, no errors
* Strong attention to detail — mistakes in orders or quotes cost us money
* Proactive and reliable — you follow up without being reminded
* Comfortable working inside structured systems and SOPs
* Stable computer setup and internet connection
* Quiet, professional work environment
This role is not suited to someone who needs constant supervision or is looking for easy tasks. It suits someone who takes pride in getting operational details right.
HOURS
* Monday to Friday
* 10:00 AM – 2:00 PM Sydney time (AEST/AEDT) to start — approximately 20 hours/week
* No weekend work
* Availability during these hours is a hard requirement
* Strong performers may grow into full-time hours over time
PAY & GROWTH

* You'll be working closely with the business owner and learning how a real Australian e-commerce operation runs
