About Us
We are a growing residential building company based in Victoria, Australia, specialising in renovations and extensions. We’re currently systemising and building out our backend operations, and are looking for a reliable Virtual Assistant who can help keep our financials accurate and our job costs clearly tracked as we continue to grow.
This role is ideal for someone who wants to become a long-term part of a small, driven team, with the opportunity to grow alongside the business.
Key Responsibilities
The primary focus of this role is bookkeeping and job cost tracking. Other tasks will be supported as time allows.
1. Bookkeeping & Accounts (Primary Focus)
• Manage day-to-day bookkeeping in Xero
• Reconcile bank transactions and keep records up to date weekly
• Issue invoices and follow up outstanding payments
• Assist with payroll, expenses, and basic reporting for the accountant
• Track employee leave (annual + sick leave)
2. Job Costing & Project Support (Secondary)
• Assist with job tracking and data entry in project software
• Keep job costs, budgets, and variations up to date
• Ensure project information is accurate and current
3. Admin Support (As Time Allows)
• Manage emails and basic correspondence
• Prepare and organise documents and files
• Assist with quoting formatting and data entry
• Support ad hoc admin tasks as needed
What Success Looks Like in This Role
Bookkeeping & Accounts
• Books are reconciled weekly and always up to date
• Invoices are sent on time and consistently followed up
• Financial records are accurate and organised
• Reports provided to the accountant are clean and reliable
Job Costing & Project Support
• Job costs are tracked accurately in project software
• Budgets and variations are kept up to date in real time
• Project data is complete and easy to understand
• Clear visibility on job performance and costs
Admin Support
• Inbox and communications are organised and handled promptly
• Documents are well-structured and easy to locate
• Quotes and files are clean and professionally presented
• Tasks are completed without constant follow-up
Requirements
• Proven experience with Xero (required)
• Experience in project management softwares such as Wuderbuild, BuildXact or Jack App (required)
• Strong attention to detail and accuracy
• Excellent written and spoken English
• Reliable internet connection and ability to meet deadlines
• Experience working with construction or trades businesses is a bonus

Working Hours
• Flexible, with overlap required with Australian (AEST) business hours
• Initially 10–20 hours per week, with potential to increase
Salary
• $6-10 AUD per hour based on experience
