JOB OVERVIEW

# Executive Assistant & Operations Coordinator

**Must be available during U.S. Eastern Time business hours**

We are seeking a dependable, organized, and proactive Executive Assistant to support a growing mortgage and real estate company. This role is ideal for someone who enjoys wearing multiple hats, solving problems, improving processes, and helping a fast-paced organization stay organized and efficient.

The right candidate is a self-starter who can work independently, communicate professionally, and take ownership of projects from start to finish.

### Responsibilities

* Support company leadership with administrative, operational, and project management tasks
* Coordinate employee onboarding, training schedules, and internal communications
* Maintain CRM records, reports, and data accuracy
* Assist with client follow-up
* Create marketing materials, flyers, and social media content using Canva and AI tools
* Help streamline workflows and improve business processes
* Communicate effectively with clients, tea ---------- mbers, and business partners

### Top Skills Required

* Exceptional organization and attention to detail
* Strong verbal and written English communication skills
* Tech-savvy problem solver with experience using CRMs, Canva, Microsoft Teams, and AI tools

### Qualifications

* Minimum 2 years of experience in an Executive Assistant, Virtual Assistant, Operations, or Administrative role
* Strong computer and technology skills

* Ability to manage multiple priorities in a fast-paced environment
* Self-motivated, reliable, and resourceful
* Professional phone, email, and customer service skills

### Preferred Experience

* Mortgage industry experience
* Real estate industry experience
* Marketing or social media experience
