People Operations Administrative Support (Spanish Speaker)

Position Summary
RNR Business Solutions is seeking a Spanish speaking detail-oriented and organized People Operations & Administrative Coordinator to support internal operations, employee onboarding, client staffing initiatives, workforce administration, compliance activities, and administrative processes.
This role serves as a key support position within RNR, helping coordinate employee records, onboarding, payroll-related activities, contractor management, documentation, compliance tracking, benefits administration support, and general administrative operations. The ideal candidate is highly organized, process-driven, comfortable working in a remote environment, and capable of managing multiple priorities simultaneously.
Key Responsibilities
People Operations Administration
Coordinate employee and contractor onboarding activities.
Prepare onboarding documents and ensure completion of required forms.
Maintain personnel files and employee records.
Assist with employee offboarding processes.
Coordinate background checks and employment verification requests.
Track certifications, training requirements, and compliance documentation.
Maintain organizational charts and staffing records.
Support recruitment and hiring initiatives.
Assist with interview scheduling and candidate communications.
Monitor employee documentation for completeness and compliance.
Staffing & Workforce Coordination
Support staffing assignments across client accounts.
Track employee schedules, availability, and workload allocation.
Assist leadership with workforce planning activities.
Maintain staffing and candidate pipeline trackers.
Coordinate onboarding logistics for new tea
Assist with contractor and virtual assistant management.
Payroll & Timekeeping Support
Review timesheets for accuracy and completeness.
Coordinate payroll-related documentation.
Track PTO requests and attendance records.
Maintain payroll support records.
Assist leadership with payroll preparation and reporting activities.
Support employee compensation and schedule adjustments.
Administrative Operations
Manage People Ops and administrative inboxes.
Organize digital files and documentation.
Maintain internal policies, procedures, and SOPs.
Coordinate meetings, training sessions, and onboarding calls.
Assist with document preparation and record retention.
Support process improvement initiatives.
Maintain employee and client databases.
Compliance & Documentation
Ensure employee files remain current and compliant.
Track required employment documentation.
Assist with confidentiality agreements, policies, and acknowledgments.
Support compliance-related audits and reporting.
Maintain documentation standards and filing systems.
Benefits & Employee Support
Assist with benefits communication and enrollment coordination.
Track benefit-related documentation.
Support employee inquiries regarding People Ops processes.
Coordinate internal employee communications when needed.
Qualifications
Required
Minimum 2 years of administrative or People Ops experience.
Strong organizational and time-management skills.
Excellent written and verbal communication skills. (English and Spanish)
Proficiency with Google Workspace.
Experience maintaining confidential information.
Strong attention to detail.
Ability to work independently in a remote environment.
Preferred
People Operations/HR experience.
Recruiting or onboarding experience.
Experience supporting remote teams.
Familiarity with payroll and timekeeping systems.
Experience with project management tools such as Odoo, Airtable, ClickUp, Asana,
