JOB OVERVIEW

ABOUT THE ROLE

The Student Success & Retention Administrator plays a vital role in supporting the ongoing journey of TGPC academy students, from enrolment through to completion and beyond.

This is primarily an administrative role focused on excellent student account management, organisation, and reporting, with a strong emphasis on client retention, subscription renewal, and upselling coordination.

The role works closely with the Sales Administrator, Sales Closers, and Call Setters to identify students approaching key milestones and renewal periods, ensuring they are supported and appropriately handed over to the sales team. Additionally, this role works closely with the Ops Administrator to handle complaints, cancellation requests and the collection, storage and management of critical student feedback, positive student feedback and student wins.

The ideal candidate is organised, student-focused, and confident managing multiple administrative responsibilities across coaching, mentoring, and retention functions.


KEY RESPONSIBILITIES
• Manage student payment queries and overdue accounts via GHL and Stripe
• Conduct bad debt calls with professionalism and sensitivity
• Identify students approaching subscription renewal and coordinate with the sales team
• Handle cancellation requests and work collaboratively to retain students
• Flag upsell and upgrade opportunities to the sales team
• Maintain accurate CRM records in GHL after every interaction
• Track and report on retention, renewal, and CLV KPIs


WHAT WE’RE LOOKING FOR
• Highly organised with strong attention to detail and a methodical approach to account management
• Excellent written and verbal communication skills
• Confident and professional when communicating directly with students and clients
• Proficient with CRM systems (particularly GHL), Kajabi, and Google Workspace
• Able to manage and maintain trackers, reports, and KPI dashboards
• Proactive in identifying students approaching renewal periods and flagging to the relevant team
• Understanding of client retention principles and subscription-based business models
• Ability to manage multiple priorities in a fast-paced environment
• A warm, student-first approach with a genuine interest in member success
• Discreet and professional when handling confidential student and financial information
