We are a small, growing primary care clinic based in Arizona. This is a long-term role with a stable US-based employer.
This is not a general virtual assistant position. We need someone with real medical office experience who understands how US healthcare administration works. You will work directly with our medical consultant and provider daily. You will be a core part of clinic operations, from prepping the next-day schedule to managing prior authorizations end-to-end.

Daily Responsibilities
-Review VOB results from billing company and write appointment notes in ECW flagging copay due, deductible balance, authorization status, lapsed coverage, secondary insurance, and outstanding patient balances
-Run insurance eligibility checks for all next-day appointments
-Submit and track prior authorizations end-to-end with US insurance payers
-Make outbound calls to pharmacies, labs, specialists, and patients during US business hours
-Follow up on pending referrals and confirm specialist scheduling
-Monitor ZocDoc for new patient bookings and coordinate intake
-Confirm ZocDoc appointments and follow up on incomplete patient profiles
Weekly Responsibilities
-Run prior auth expiration reports and submit renewals proactively
-Follow up on unpaid or unacknowledged claims within payer-standard windows
-Work the recall list with outbound calls to patients due for follow-ups or labs
-Contact no-show patients to reschedule
-Review outgoing patient balance statements for accuracy
-Confirm referral loop closure in ECW
What We Need From You
-Minimum 2 years working in a US medical office or healthcare admin role remotely
-Prior authorization experience with US commercial and Medicaid payers — required
-Experience as a virtual assistant in a healthcare setting — required
-Experience with eClinicalWorks (ECW) is a strong plus but not required
-Experience with ZocDoc or similar patient scheduling platforms a plus
-Comfortable making high-volume professional outbound calls to US providers and payers
-Familiarity with ICD-10 and CPT coding basics
-Dedicated private home office with reliable high-speed internet
-Ability to work US Mountain Time business hours (approximately 10pm to 7am Philippine time)
HIPAA-aware with understanding of patient data confidentiality
Nice to Have
-Experience with AI transcription or ambient documentation tools
-Familiarity with Arizona Medicaid (AHCCCS) or Southwest US payer networks
-Medical scribing experience
