**About This Role**
We are looking for a sharp, proactive Virtual Operations Coordinator to serve as the connective tissue between our Sales, Production, and Accounting teams. This is a full-time, long-term role for someone who thrives in a fast-paced environment, takes initiative, and isn't afraid to pick up the phone.
You will be embedded in our daily operations — keeping jobs moving, tracking financials at the job level, helping collect payments, and making sure nothing falls through the cracks. If you are detail-oriented, a strong communicator, and a fast learner, this role is built for you.
**Important: Time Zone Requirement**
This role requires you to work during U.S. Mountain Time (MT) business hours to support our Sales, Production, and Accounting teams in real time. You must be available for phone calls, Slack communication, and time-sensitive tasks during these hours. Please only apply if you are able to commit to this schedule.
**What You Will Do**
CRM & Financial Data Entry
• Pull financial data from QuickBooks Online (QBO) and enter it into our CRM, JobNimbus, to support job-level profit tracking for our Sales and Production teams
• Keep job records current including costs, subcontractor invoices, change orders, and payments received
• Flag discrepancies between QBO and JobNimbus and route them to the right tea
Team Liaison — Sales, Production & Accounting
• Serve as a daily communication bridge between Sales, Production, and Accounting to keep jobs moving and prevent delays
• Monitor job status in JobNimbus and follow up with internal tea
• Assist with job closeout including final documentation, warranty submissions, and lien waivers
Payment Collection & Follow-Up
• Contact customers by phone,
• Send payment reminders and follow up on outstanding invoices
• Confirm received payments with our accounting team and update job records in JobNimbus
Slack Monitoring & Internal Communication
• Monitor our company Slack workspace during business hours and respond to or route messages promptly
• Help keep internal communication organized, action items tracked, and tea
Permits, Phone Calls & Administrative Support
• Assist with tracking and following up on building permits with local city and county offices
• Make outbound calls to customers, vendors, subcontractors, and local businesses on behalf of the team
• Support general administrative tasks including document filing, data entry, and
**What We Are Looking For**
• Experience with QuickBooks Online (QBO) — required
• Experience with a CRM or project management tool (JobNimbus experience is a major plus)
• Strong spoken and written English — you will be communicating with U.S.-based customers and vendors by phone,
• Comfortable making outbound phone calls to customers and businesses in the United States
• Highly organized, detail-oriented, and able to manage multiple priorities without close supervision
• Reliable high-speed internet connection and a quiet, professional workspace for phone calls
• Available to work Monday–Friday during U.S. Mountain Time business hours — this is required, not flexible
• Construction or trades industry experience is a plus but not required
