We are a growing beauty education and personal brand business focused on online courses, social media content, podcasting, and helping women build successful careers within the beauty industry.
We are looking for a highly organised, proactive and reliable Operations & Content Manager to become a key part of our team.
This is not a typical Virtual Assistant role.
We are looking for someone who can help create systems, organise projects, improve workflows, manage content, and support the growth of the business behind the scenes.
The Main Goal Of This Role
The founder is currently managing most of the business operations alone. We need someone who can help organise, streamline and eventually take ownership of many of the day-to-day operational tasks so the founder can focus on teaching, content creation, marketing and business growth.
Responsibilities
Operations & Systems
* Create and maintain business systems
* Build and manage workflows in Notion & excel
* Create SOPs from Loom videos and existing processes
* Organise Google Drive and digital assets
* Manage recurring task lists and business processes
* Track business projects and deadlines
* Improve efficiency and identify areas for automation
Course Management
* Organise and manage Kajabi and Skool platforms
* Upload and organise course content
* Structure course modules and resources
* Improve student onboarding experiences
* Assist with course updates and launches
* Help organise course manuals and educational materials using ClaudeAI
Content Management
* Organise content libraries
* Manage content calendars
* Coordinate with video editors
* Upload and schedule content
* Maintain content organisation systems
* Track content performance and analytics
Student & Customer Support
* Manage
* Send onboarding information to students
* Send course schedules and reminders
* Support students through existing processes
* Maintain customer records and communication systems
Marketing & Automation Support
* Assist with ManyChat setup and management
* Assist with Go High Level systems
* Support
* Track leads and enquiries
* Manage outreach to podcast guests and sponsors
* Support basic marketing administration
Reporting & Administration
* Track sales and business metrics
* Maintain spreadsheets and reporting systems
* Assist with cash flow tracking
* Organise invoices and business records
Required Skills
* Fluent written and spoken English
* Strong organisational skills
* Experience with Kajabi
* Experience with Canva
* Experience with Notion
* Experience with Google Drive
* Comfortable using ClaudeAI and ChatGPT
* Strong attention to detail
* Ability to work independently
* Strong problem-solving skills
* Experience supporting online businesses, course creators, coaches or content creators
