Notion Workspace Administrator

Contract (Future Full-time role considered) | Remote | ~10-38hrs/week | USD $6–$10/hr | Start 29/06/2026

Praxis Partners runs digital operations inside mid-market businesses. We are looking for a Notion contractor who can both govern our internal workspace and build client-facing Notion solutions. This is a long-term remote engagement for someone who thinks in systems, documents everything, and can translate a business problem into a clean Notion build.

The role:
You will own two things. First, the ongoing health and governance of our internal Notion environment: structure, permissions, automations, and integrations. Second, Notion build and delivery work for client engagements: discovery, architecture, configuration, and training.

This is not a junior or exploratory role. You will operate with low supervision, work async-first, and deliver to a documented standard. You will be expected to ask one round of clarifying questions before starting a build, not throughout.

What you will do:

Internal workspace administration
- Maintain the workspace structure: pages, teamspaces, databases, and templates
- Manage user permissions, guest access, and group configurations
- Build and maintain database automations, integrations with Slack, Google Workspace, and other connected tools
- Conduct regular workspace health reviews: orphaned pages, stale content, broken automations
- Keep a master documentation page covering architecture decisions, the integration register, and governance rules

Client-facing Notion builds
- Review structured discovery sessions to understand client workflows and problems
- Design and present a scoped solution before any build begins
- Build and configure client workspaces: databases, relations, views, automations, and templates
- Migrate existing content from source systems in a structured, validated way
- Deliver SOP’s and training, async walkthroughs, and usage documentation at handover
- Support adoption in the weeks following go-live

What you need

Required:
- Demonstrated hands-on Notion experience at an advanced level: databases, relations, formulas, automations, and permissions
- 2+ years experience managing a Notion workspace for a team of multiple users
- Ability to translate non-technical operational requirements into structured Notion solutions
- Comfortable conducting discovery sessions and scoping builds without hand-holding
- Strong written communication skills and experience creating async documentation
- Prior experience with at least one integration or automation tool: Make, Zapier, n8n, or the Notion API
- Notion Certified Admin badge (proctored exam via Notion Academy)
- Notion Essentials, Workflows, and Advanced badges completed

Preferred:
- Notion Service Specialist certification
- Experience with SAML/SSO configuration in Business or Enterprise workspaces

Engagement terms:
