GHL Agency and Sub-Account Admin

Praxis Partners runs digital operations inside mid-market businesses. We are looking for a GHL contractor who knows the platform well, works independently, and documents everything. This is a long-term remote engagement for someone who thrives on clean execution and a well-organised tool stack.

The role:

You will own the day-to-day administration of our GoHighLevel environment at both agency and sub-account level. That means user management, workflow maintenance, pipeline and contact field administration, and inbox hygiene across assigned client accounts.

This is an execution role. You receive a brief, ask one round of clarifying questions, then deliver. You are not designing systems from scratch. You are running a known stack reliably and keeping the documentation accurate along the way.

You will report to the Head of Technology. Overlap with WITA business hours is required.

What you will do:
- Maintain the agency-level GHL environment: users, permissions, sub-account structure, and snapshot library
- Administer assigned client sub-accounts: settings, pipelines, contact tags, custom fields, and inbox hygiene
- Update and QA workflows, triggers, and automation sequences before deploying to live contacts
- Build standard workflows to brief: lead capture, appointment confirmations, missed call text-back, review requests
- Document every build and configuration change using Scribe and file it in Notion
- Monitor and resolve workflow errors proactively
- Submit daily and weekly async updates via Notion and Slack

What you need...

Required:
- 3–5 years of hands-on GHL experience at both agency and sub-account admin level
- Demonstrated experience managing multiple sub-accounts simultaneously
- Working knowledge of GHL permission scopes at both agency and sub-account level
- Comfortable building and editing workflows, pipelines, and funnel pages without supervision
- Daily operational experience with Google Workspace and Notion
- Prior experience using Scribe or Loom for process documentation
- Familiarity with Slack as a primary communication tool in a distributed team
- Experience managing shared credential vaults (1Password or equivalent)
- ABN registered

Preferred:
- GHL certification (any level)
- Experience creating and deploying snapshots across client niches
- Familiarity with A2P 10DLC registration and SMS compliance
- Exposure to webhook-based integrations between GHL and external tools
- Prior contractor or VA experience in a fractional or agency environment

Engagement terms:
Type: Contractor
Hours: Minimum 10 hours per week
Rate: USD $6–$10 per hour, based on experience
Start date: 29/06/2026
Reports to: Head of Technology
Location: Fully remote; AEST business hours overlap required
Invoicing: Monthly; payment within 7–14 business days
Equipment: Contractor provides own; Praxis provides tool access and subscriptions
Contract: Praxis Contractor Agreement (includes NDA and IP assignment) required before commencement
