About the Role
We're looking for a dependable, detail-oriented Virtual Assistant to support a growing real estate media business in the United States.
We're looking for someone who enjoys learning new things, takes pride in doing great work, communicates openly, and genuinely wants to be part of building something meaningful.
This role combines administrative support, quality control, project coordination, and light creative work. You'll help keep projects organized, ensure deliverables meet quality standards, and support day-to-day operations behind the scenes.
Your Daily Tasks
Responsibilities may include:
Conduct quality control (QC) checks on photos, videos, floor plans, and other media deliverables
Prepare and organize media files for client delivery
Perform Instagram outreach and assist with lead generation efforts
Organize and update lead information, spreadsheets, and databases
Help manage orders and track project progress
Maintain organized file structures within Google Drive and other systems
Assist with basic photo or video edits when needed
Document processes and create simple SOPs for repeatable tasks
Communicate with the founder regarding project status, questions, and updates
Help identify opportunities to improve workflows and efficiency
Required Qualifications
Strong written English communication skills
Highly organized and detail-oriented
Comfortable following checklists, processes, and quality standards
Reliable internet connection and computer setup
Able to work independently and manage tasks without constant supervision
Comfortable learning new software and systems
Strong problem-solving skills and willingness to ask questions when needed
Positive attitude and professional communication style
Some overlap with EST business hours for outreach, communication, and occasional client-facing tasks
Able to consistently meet deadlines and communicate proactively
Bonus Skills (Not Required, But a Plus)
Experience with Google Drive, Google Sheets, and online project management tools
Familiarity with CRM systems or order management platforms
Experience with Canva
Experience with Lightroom, Photoshop, CapCut, Premiere Pro, Spiro, or similar software
Previous experience supporting a real estate, media, creative, or marketing business
Social media outreach or lead generation experience
Experience documenting workflows or creating SOPs

Compensation & Schedule
Starting at $5 USD/hour during training
Opportunity for pay increases as responsibilities grow and independence is demonstrated
Approximately 20 hours per week to start
Flexible schedule outside of required business-hour overlap
Some overlap with New York business hours is needed for outreach and communication
