As we continue to grow, we're looking for a highly organized, proactive, and detail-oriented Construction Operations Coordinator / Virtual Assistant to become a key member of our operations team.
This is not a typical customer service position.
You'll play an important role in helping manage projects, coordinate communication, support estimating and procurement activities, maintain documentation, and keep projects moving efficiently from lead intake through project completion.

Position Overview
The Construction Operations Coordinator will support day-to-day operations across multiple residential construction and remodeling projects.
You will work closely with clients, subcontractors, suppliers, project managers, and company leadership to ensure projects remain organized, documented, and on schedule.
The ideal candidate is comfortable managing multiple priorities, communicating professionally, solving problems independently, and learning construction-related workflows.

Key Responsibilities
Client Communication & Customer Service
* Handle inbound and outbound communication via phone, SMS, and
* Provide professional and responsive customer support
* Follow up with leads, prospects, and existing clients
* Schedule consultations, site visits, and appointments
* Maintain communication throughout active projects
* Document conversations, decisions, and project updates accurately
Operations & Administrative Support
* Manage calendars, schedules, and project timelines
* Maintain organized project files and documentation
* Update CRM, project management platforms, and internal systems
* Track project milestones, deadlines, and action items
* Coordinate communication between clients, subcontractors, vendors, and internal tea
* Assist with operational reporting and KPI tracking
Construction Project Coordination
* Support project scheduling and job coordination
* Communicate with subcontractors regarding scheduling and project requirements
* Review scopes of work and project documentation for completeness
* Assist with project administration, invoicing, and documentation
* Support estimating, takeoffs, and scope development activities
* Identify missing information and documentation before project kickoff
Procurement & Material Coordination
* Assist with material sourcing and vendor communication
* Request and organize supplier quotes
* Compare pricing and vendor options
* Build and organize Home Depot shopping carts and material lists
* Verify material lists before project start
Post-Project Documentation & Analysis
* Organize project completion records
* Verify closeout documentation
* Manage project photos and completion files
* Review completed projects against original scope
* Document lessons learned and process improvement opportunities
Lead Follow-Up & Business Development Support
* Conduct outbound appointment-setting calls
* Follow up with inbound leads and estimates
* Assist with lead nurturing campaigns
* Perform occasional cold-calling and prospecting activities
* Maintain accurate lead and customer records

Required Qualifications
* 2+ years of experience in operations, administration, project coordination, customer service, or construction support roles
* Strong written and verbal English communication skills
* Excellent organizational and time-management abilities
* Ability to manage multiple projects simultaneously
* Strong attention to detail and follow-through
* Ability to work independently with minimal supervision
* Strong problem-solving and critical-thinking skills
* Comfortable learning new software and systems quickly

* Experience in construction, remodeling, home services, or property management
* Experience supporting project managers, estimators, or construction administrators
* Familiarity with scopes of work, estimating, scheduling, and project documentation
* Basic understanding of takeoffs, material lists, and procurement processes

Previous experience supporting construction, remodeling, home services, or project-based businesses is highly preferred.
