We are seeking a highly skilled Senior HubSpot & Marketing Operations Specialist to become the operational leader of our marketing technology and enrollment funnel infrastructure.
This is not a virtual assistant position.
We are looking for a hands-on marketing operations professional who can build, optimize, automate, and manage HubSpot systems that directly support student recruitment and enrollment growth.
Position Summary
The Senior HubSpot & Marketing Operations Specialist will be responsible for the daily administration, optimization, reporting, and automation of our HubSpot environment.
This individual will work closely with the Sales & Enrollment Director, school leadership, appointment setters, and external marketing vendors to ensure that every lead is captured, nurtured, tracked, and converted through a measurable enrollment funnel.
Key Responsibilities:
HubSpot Administration
Manage HubSpot Marketing Hub and Sales Hub
Create and maintain landing pages
Build and optimize forms
Create workflows and automation sequences
Manage contact databases and segmentation
Configure lead scoring systems
Create custom properties and fields
Manage pipelines and lifecycle stages
Maintain CRM data quality
Marketing Operations:
Track campaign performance across Google, Meta, YouTube, and other channels
Implement UTM tracking and attribution reporting
Monitor lead source effectiveness
Manage campaign reporting dashboards
Build automated
Support SMS and appointment scheduling automation
Create marketing performance reports
Enrollment Funnel Management:
Optimize lead-to-enrollment conversion processes
Build application follow-up workflows
Develop enrollment nurture campaigns
Support appointment-setting teams
Create re-engagement campaigns for inactive leads
Identify bottlenecks within the enrollment funnel
Reporting & Analytics:
Produce weekly KPI reports

Required Qualifications:
Minimum 3 years HubSpot experience
HubSpot Marketing Hub experience
HubSpot Sales Hub experience
Workflow automation expertise
Landing page creation experience
CRM administration experience
Marketing reporting and analytics experience
Strong English communication skills
Experience supporting lead generation or sales organizations
Preferred Qualifications:
HubSpot Certifications
Experience working with a HubSpot Solutions Partner agency
Experience supporting education organizations
Experience with enrollment marketing
Experience with Google Ads and Meta Ads tracking

AI and marketing automation experience
