JOB OVERVIEW

Overview
We're looking for a highly organized and proactive Talent Operations & Outreach Manager to help us identify, engage, and manage creative talent across a variety of projects.
This role sits at the intersection of talent sourcing, relationship management, and project coordination. You'll be responsible for building and maintaining talent pipelines, managing outreach efforts, tracking candidates and freelancers through our CRM, and serving as a key point of contact between our team and external talent.
The ideal candidate is resourceful, detail-oriented, and enjoys connecting the right people with the right opportunities.

Key Responsibilities
Talent Research & Sourcing

Identify and source qualified talent based on active project needs and open roles
Research portfolios, credentials, and experience across platforms (Behance, Upwork, ArtStation, etc.)
Build and maintain talent pipelines for future hiring needs


CRM Management

Maintain accurate talent records within Airtable
Track sourcing activity, outreach status, project assignments, and talent availability
Ensure CRM data remains organized and up to date


Talent Outreach

Conduct outreach to selected candidates and freelancers
Manage initial communications and screening conversations
Coordinate introductions between internal stakeholders and prospective talent


Talent & Project Coordination

Serve as the primary liaison between our team and freelancers on Upwork and other platforms
Facilitate communication, timelines, and project deliverables
Follow up with talent to ensure projects remain on track


Reporting & Process Improvement

Monitor sourcing and outreach performance
Identify opportunities to improve workflows, talent pipelines, and operational efficiency


Qualifications

Experience in recruiting, talent sourcing, talent operations, project coordination, or a related field
Strong research and sourcing skills
Excellent written communication and outreach abilities
Experience using Airtable, spreadsheets, or CRM systems
Comfortable managing multiple projects and deadlines simultaneously
Highly organized with strong attention to detail
A keen eye for design, talent, and art/aesthetics
Experience working with freelancers, contractors, or creative talent is a plus
