We are looking for a sharp, reliable, and proactive Virtual Coordinator to become a key part of our team
About the Role
This is a dynamic, multi-tasking role — not just estimating. You will be the backbone of our operations: handling estimates, communicating with clients, coordinating field crews, tracking projects, and keeping everything organized. If you thrive in a fast-paced environment and love having variety in your work, this role is for you.
We will train you on our estimating software (Houzz Pro). What we cannot train is attitude, organization, and work ethic — those must already be yours.
Your Day-to-Day Responsibilities
Prepare and send accurate project estimates for chimney, masonry, and remodeling work
Send estimates to clients with a professional and personalized cover message
Follow up with clients who have not responded — by
Coordinate job schedules with field crews and ensure smooth communication between office and teams
Maintain a detailed client pipeline in Google Sheets: leads, estimates, won, lost, pending
Research materials and products online — find best prices, links, and delivery times for the purchasing team
Organize all client records and project documentation
Deliver a clear weekly report every Friday: estimates sent, jobs won, jobs lost, follow-ups pending
Handle multiple tasks simultaneously and prioritize without losing attention to detail
Be proactive — flag issues, suggest improvements, and take initiative without being asked
Requirements
The following are non-negotiable:
Fluent English — written and spoken. All client communication is in English
Experience in construction estimating (chimney, masonry, remodeling, or similar)
Advanced Google Sheets — you must be comfortable building and managing spreadsheets
Strong professional
Excellent coordination and organizational skills
Stable, reliable internet connection — this is a remote role and connectivity is critical
Backup internet option in case of outages (highly recommended)
Available during US business hours (Eastern or Central time preferred)
Self-motivated, detail-oriented, and able to manage multiple priorities at once
Nice to Have
Spanish language skills are a plus — the owner is bilingual (English/Spanish)
Experience with Houzz Pro, Jobber, Buildertrend, or similar construction software
Background in construction sales, project coordination, or customer service
Experience using CRM tools to manage client pipelines

Compensation
Starting salary: $3–$5 USD/hour (full-time), based on experience and skills.
All new hires start with a paid 2-week trial period. This gives both sides the opportunity to confirm the fit before committing to a permanent contract. Trial compensation is discussed during the interview.
