We are looking for a reliable, experienced, and independent Virtual Assistant / Customer Support Specialist for our e-commerce business.
The ideal candidate has several years of experience in customer support, is confident working with Shopify, can handle PayPal disputes/cases, refunds, customer communication, and basic bookkeeping tasks.
We are specifically looking for someone who can work independently, think ahead, solve problems, and does not need constant supervision.
Responsibilities
You will be responsible for tasks such as:
Customer Support /
* Handling customer inquiries via
* Communicating with customers in a professional, friendly, and solution-oriented way
* Understanding customer issues and finding appropriate solutions
* Handling complaints, order questions, delivery issues, returns, and refund requests
* Using templates when needed, but also writing clear and personalized replies
* Prioritizing urgent cases
* Following up on open customer issues
Shopify
* Managing and reviewing orders in Shopify
* Processing refunds when necessary
* Checking customer details, order status, and payment information
* Assisting with cancellations, returns, and address changes
* Identifying suspicious orders or potential issues
* Handling general admin tasks inside the Shopify backend
PayPal Cases & Payment Issues
* Handling PayPal disputes, claims, and cases
* Uploading proof, tracking details, and relevant information
* Communicating professionally regarding payment disputes
* Reviewing whether a refund is appropriate or necessary
* Taking care of payment-related issues independently and correctly
Bookkeeping / Admin Tasks
* Supporting with basic bookkeeping tasks
* Organizing and checking invoices
* Tracking expenses and income
* Maintaining spreadsheets and reports
* Reconciling payments, refunds, and open cases
* Preparing documents for accounting
* Handling general VA/admin tasks
Requirements
We are not looking for a beginner. You should already have solid experience in a similar role.
You should have:
* Strong experience in customer support
* Experience with Shopify
* Experience handling PayPal disputes, claims, and refunds
* Experience in e-commerce
* Excellent written English communication skills
* Ability to solve problems independently
* Basic bookkeeping or finance admin experience
* Good knowledge of Google Sheets, Excel, or similar tools
* Strong attention to detail
* Reliable and structured working style
* Honesty, loyalty, and discretion
* Ability to work long-term with minimal supervision
